MUSTERS MEDICAL PRACTICE

JOB TITLE: MEDICAL RECEPTIONIST

MAIN PURPOSE OF THE POST:
We are a busy practice providing care for 9,800 patients in West Bridgford

Applicants will need to be-able to provide a point of contact for patients and act as a focal point of communication between patients, doctors and other medical staff. To effectively carry out all reception duties in order to contribute towards the efficient running of the surgery.

Applicants will need to be professional, reliable and friendly. You will need to be-able to work well under pressure, be-able to multitask and have excellent customer care skills.

SPECIAL REQUIREMENTS OF THE POST:
An understanding, acceptance and adherence to the need for strict confidentiality.

An ability to use own judgement, resourcefulness, common sense and local knowledge, to respond to patients' enquiries and requests.

Excellent communication skills.

The ability to contribute to the efficient running of the practice by being flexible at times in order to provide cover in reception for staff holidays and sickness.

MAJOR DUTIES AND RESPONSIBILITIES OF THE POST

RECEPTION DUTIES

To deal in a courteous, friendly, sympathetic and efficient manner with patients and other members of the public who you come into contact with on practice premises.

Taking requests for visits and writing all relevant details in the visits book, informing the doctor on call immediately of any emergency visits or deaths, bleeping the doctor if necessary.

Ensure that requests for repeat prescriptions are dealt with according to the repeat prescription protocol.

Receiving specimens from patients and making sure that all members of staff insert samples into relevant pathology bags.

Checking fridges, doctors and nurses rooms for samples before the courier comes, adhering to infection control policies and procedures.

IMPLEMENTATION OF APPOINTMENT SYSTEM

To make appointments for the doctors, practice nurses and other associated staff.

When booking appointments ensure sufficient information is noted on the screen to assist in finding medical records or paperwork.

Ensure total familiarity with all appointment systems including regular and incidental variations.

MANAGEMENT OF PATIENTS

Recording patients’ arrival and sending them up to the doctors.

Registering new patients, inviting new patients for their first consultation, handing out practice booklets, explaining practice arrangements to new patients and those seeking temporary cover; ensure all procedures are completed and carried out according to practice protocols.

Ensuring that patients who need seeing urgently are seen in a logical and non-disruptive manner in accordance with the guidelines set down by the doctors.

Responding to all queries and requests for assistance from patients and other visitors.

Advise patients of relevant charges for private services, accept payment and issue receipts for these.

MANAGEMENT OF MEDICAL RECORDS

Ensure all the records are available for the on-call doctor for visits.

Retrieve and file records as required, ensuring that strict alphabetical order is adhered to.
Scanning documents onto patients’ computer records.

Keep records neat and tidy and in good repair with information recorded correctly and legibly on the outer cover.

OPERATION OF THE TELEPHONE SYSTEM

Receive and make calls courteously and efficiently as required.

Following up any queries promptly and whenever possible personally e.g. results enquiries, contacting the Health Authority.

START AND END OF DAY PROCEDURES

Open the premises at the start of the day. Switch off the alarm and answer machine. Turn the computers on and make all necessary preparations to receive patients.

Secure the premises at the end of the day; close all windows; lock all internal doors; shutdown the computer system; check the patients’ toilet; switch on the answer machine; turn off all lights and electrical appliances; activate the alarm and secure the premises externally.

OTHER DUTIES CONSIDERED APPROPRIATE TO THE POST

Ensure the reception, waiting areas and the premises generally are kept clean, neat and tidy.

Making tea and coffee when necessary.

Attendance at the Quarterly Practice Development Meetings.

Reception staff will need to take on other duties appropriate to the post as and when required to ensure the smooth running of the practice.
