We are looking for a motivated individual with excellent organizational skills and a passion for providing exceptional support, to join our team as an Executive Personal Assisstant. This role enables Zip World to achieve its core vision of 'Unlocking Adventure' by providing comprehensive strategic administration support to the Executive Team. This is a fixed term maternity cover position for a period of 12 months.
**Key Responsibilities**:
- Diary management, full diary management for CEO, COO CFO
- Organise and schedule meetings for Executive Team as required, including; booking rooms, arranging resources, arranging appropriate catering, and agreeing agendas.
- Communicate with Board Members, schedule Board Meetings, and arrange meeting agendas, gathering and printing all necessary documents, and organising refreshments.
- Influencing teams across departments to ensure projects remain on track
- Prepare expenses for the CEO, keeping accurate records and itineraries
- Prepare agendas, presentations for internal and external meetings and support local press release communications
- Ensure documents and information are organised and filed as necessary;
- Prepare weekly executive meeting agendas and information packs, perform research for meetings, and take minutes during meetings;
- Prepare, distribute and coordinate a wide variety of internal and external communications;
- Maintaining confidentiality and strict prioritisation of tasks;
- Reconciliation of corporate credit card statements, compilation of expenses and purchase orders
- Progressing issues on behalf of the Executive Team where appropriate, notifying them of actions taken and outcomes secured.
- Advising directors and members of the senior leadership team on corporate governance matters.
- Ensure policies, regulatory, or statutory changes that might affect Zip World are up to date and approved by the committee.
- Liaise with external regulators and advisers such as lawyers and auditors.
**Qualifications & Experience**:
- Proficiency in using Microsoft suite.
- Previous experience in a Executive PA role is essential
- Strong attention to detail and organizational skills
- Excellent communication skills, both written and verbal
- Ability to multitask and prioritize tasks effectively
- Strong problem-solving skills and ability to work independently

**This is a Fixed Term contract for 12 months, covering maternity leave.**
