We are pleased to announce an Apprenticeship opportunity within our administration department at Norfolk Community Health and Care NHS Trust. This is a fixed term contract for 18 months.

This is an excellent opportunity to gain experience within a high performing service as you will assist in the day-to-day running of administration support to patients, managers and employees across the Trust. We welcome applicants who are committed to completing a 18 month Level 3 Apprenticeship diploma in Business Admin and have an interest in working in administration.

This post will involve working in an admin team that provides administration to help and support the senior management team of SSOCS. This includes but is not limited to Operations Director SSOCS, Head of Children and Young People Services, Head of Specialist Beds and Neurology, Head of Community Beds and System Operations and Service Lead for Palliative Care.

Supervision and support (direct and indirect) will be provided or available during all tasks, with support into a substantive post following the apprenticeship also provided during the second half of the apprenticeship. This will support the post holder to gain confidence, experience and build a portfolio of evidence for apprenticeship accreditation.

You will assist in the day-to-day operational work of the team, which will involve liaising with members of staff across the teams, Place and organisation, external organisations as required and members of the public.

To gain knowledge of the various admin functions and processes within the team

To be responsible for supporting a range of functions within the team

To provide administration support to the team

Key Areas of Responsibility - Training to be provided for all

Work closely with the existing administrators across the organisation to provide ongoing administrative support to the Trust as a whole.

Act as an administrator for new and ongoing tasks within the team. This includes joint monitoring and responding from team inbox.

Support initiatives for the team.

To create and maintain letters, reports, spreadsheets and correspondence using a variety of computer packages including Word, Excel, Outlook and Teams.

Room bookings on the Cloudbooking system

To organise and service meetings

Order stores through Powergate

Support the management of absence process by completing and submitting absence forms as required. This will include using HealthRoster system

Manage the phones and output from calls.

Processing, filing and distributing confidential reports and documents.

Interact with employees at different levels of the organisation.

Produce letters and arrange diaries and clinical ledgers.

Maintain databases.

Carryout any photocopying, scanning or filing as required.
