**About the role**:
The post forms part of a job-share within a departmental general office team providing support to senior staff and administrative support across both Learning and Programmes and International and National Programmes, both part of the Public Engagement Directorate. A major component of the post involves day-to-day management of those Departments’ budgets, covering a variety of areas, including use of Unit4 for ordering goods, record keeping, payroll submissions and travel arrangements.

**Key areas of responsibility**:

- Day-to-day management of departmental Finance operations. This includes use of the Unit4 system to raise purchase orders, process invoices and help team members manage their budgets. Both parties in the job share will also hold Government Purchasing Cards for which receipts for purchases must be submitted monthly to the Finance team.
- Working with the Senior Administrator to ensure efficient running of the department’s finances. This is especially important at the end of Financial Years and involves communicating with team members and the Finance team regularly.
- Being up to date with financial procedures and assisting team members to work to the Museum’s guidelines, e.g. the Finance Operating Manual
- Preparation of a large volume of payroll submissions each month at Closedown.
- The ordering of departmental materials and stationery and management of deliveries.

**About you**:

- 5 GCSE Grades A-C, or equivalent
- Experience of using Outlook for general messaging and calendar
- Experience managing budgets and procurement and organisation of travel arrangements for colleagues
- Administration experience including procurement and budget management, preferably in the arts and heritage or charity sectors.
- Good team worker and ability to work independently
