HR Coordinator

**Purpose of the role**
The HR Coordinator will be primarily responsible for ensuring that all recruitment and HR related administrative duties are completed in a timely and accurate manner, and act as the first point of contact for employee enquiries on recruitment, training and policies. The HR Coordinator will manage the onboarding process and provide information and assistance throughout the employment lifecycle.
**Responsibilities**
- Recruitment, selection and new starter processes liaising with line managers regarding vacancies
- Prepare draft job description in conjunction with hiring manager
- Advertise vacancy on appropriate platforms
- If applicable arrange second interviews in conjunction with hiring manager
- Ensure that eligibility to work in the UK for all employees has been checked and request updates for visas due to expire
- Set up Bright HR accounts for all new starters
- Issue contracts of employment and ensure all new starter documentation is completed
- Ensure all relevant employment documentation is fully explained and saved to employees Bright HR account
**Advice and Guidance**
- Manage the HR Inbox, answer queries and provide basic practical advice to managers and employees in relation to policies and procedures
- Support employees by providing information and assistance throughout the employment lifecycle
- Use own initiative and considered judgement to answer queries and make suggestions in line with CST Training Ltd’s policies and legal framework
- Conduct exit interviews, when necessary
- Research and undertake specific projects and other ad-hoc tasks as directed by the Senior Managers including policy reviews
- In conjunction with our Employment Law advisers keep up to date with developments in employment legislation, CST Training Ltd policies and human resources best practice to ensure continuous development
- Support employee relations casework, including disciplinary, grievance and performance related matters
- Co-ordinate, support and participate in absence management meetings
- Assist with first day Induction for new starters
**Provide a high level of administrative duties**
- Ensure employee related letters including job offers, acknowledgement of resignation letters, pay and pension updates are distributed and stored on Bright HR in a timely manner
- Produce appropriate contractual documentation and written correspondence in relation to terminations and variations of employment
- Ensure filing and archiving is up to date, in line with GDPR
- Monitor end of probation and annual performance reviews, alerting Heads of / Managers as necessary when reviews are due. File completed reviews on Bright Hr
- Deal with arrangements in the event of maternity leave, operations, long term sickness and bereavements. Take all reasonable steps to ensure appropriate confidentiality
- Maintain HR records on Bright HR. Monitor and follow-up on sickness forms, and notify managers of high levels of absence
- Liaise with Head of Resources in relation to any payroll changes
**Essential skills**
- Demonstrable experience of working in HR including recruitment and experience of managing, organising and conducting onboarding processes
- CIPD level 3 qualified or equivalent qualifications/skills gained through experience, working towards or willing to gain a level 5 qualification
- Previous experience of working with a range of IT platforms and automated processes
- Experience of using a CRM such as HubSpot, Salesforce or similar.
- Possess a good understanding of current employment law and HR best practice
- Ability to maintain a high level of confidentiality
- Excellent interpersonal and communication skills
- Willingness to change and adapt quickly, as per the companies start-up mentality.
**Desirable skills/experience**
- Knowledge of automation platforms or processes such as Zapier.
- Experience within a training/educational organisation.
- Experience of using Google Workspace.
