An exciting opportunity has arisen for a highly motivated Medical PA to join our team based at Colchester Hospital. We have a full time post available within our Gastroenterology department.
We are looking for a dynamic, flexible and enthusiastic team player to integrate with the current team and provide an efficient and effective secretarial and administrative support to the clinicians, patients & other team members. You will join a friendly department where you will befully supported by management with regular training and development to help further career.
In this role you will provide efficient and pro-active secretarial and admin support to the large team of busy consultants and other team members. You will be the first contact for patients and queries on behalf of the Consultants and Department. You will work as part of a team, supporting other team members and covering when required.
**Skills required for the post include**: good typing and audio skills, the ability to prioritise tasks, effective time management skills, good IT and secretarial skills, good communication, interpersonal and organisation skills, and a good team member.

- Opening and processing incoming mail, ensuring that all results are passed to the Consultant or Nurse Specialist with date of next clinic appointment or copy of last clinic letter as appropriate. Noting if results are urgent and need immediate escalation.
- Undertaking all necessary administration following receipt of results and following procedure for booking follow up appointments if needed.
- Liaise with booking clerks to ensure that patients are added to the waiting list within agreed standards and undertake administration of patients on the waiting list as and when required.
- Ensuring that all filing, i.e. clinic letters, pathology and X-ray reports is kept up to date, if necessary requesting notes from the Health Record Library. Ensuring that health records are booked in and out and returned to Health Records as soon as possible, using case note tracking on the PAS system as per protocol.
Dealing with incoming telephone calls from patients/relatives/GP surgeries/other departments within the Hospital/outside organisations, independently dealing with or passing on queries/messages to the Consultant and other staff.
- Supporting all colleagues and temporary staff, ensuring that they are familiar with office procedures etc.
- Keeping Consultants' diaries, including arranging appointments with representatives from Pharmaceutical companies and cancelling meetings if Consultant is on leave.
- Notifying appropriate staff of Consultant’s Annual Leave and Study Leave and ensuring that all clinical commitments are cancelled as necessary within policy.
- If Consultant or a member of his team has taken emergency short notice leave due to sickness/other, ensure that all clinical commitments are cancelled accordingly including contacting patients if a clinic is required to be cancelled.
- Attending and taking minutes of Departmental/Divisional meetings as appropriate.
- Participate in relevant updating and training at request of manager.
- Opening and dealing with Consultant’s E-mail as necessary and printing these for Consultant to check.
- Preparing presentations as requested by the Consultant if/and when necessary.
- Preparation of Salary Returns, ensuring that records of annual/sick leave are kept up-to-date.
