Binfield Road Surgery is a friendly 9000 patient GP training practice located minutes away from Stockwell Tube station on the Victoria line. The Surgery is located in a modern purpose-built health centre with plans for further expansion to accommodate a growing list size.
We are looking for an enthusiastic new administrator to join our friendly team. We currently have a team of five receptionists and administrators, a practice manager, four GP's, a nurse practitioner, two practice nurses and a clinical pharmacist.
We score above the Lambeth average in terms of patient satisfaction, with 97% of our patients who would recommend us to their friends and family, ranking our Surgery in the top three in Lambeth.

**JOB TITLE: Office Administrator / Receptionist**
**HOURS**:30 to 37.5 hours per week

**JOB SUMMARY**:
It is the role of the Office Administrator / Receptionist to support the Practice Manager in ensuring the smooth running of the Surgery.
The Administrator will help develop and maintain effective and efficient office and administrative functions for the Surgery which supports patient services and contributes to the achievement of all necessary targets and requirements set out by the Practice Manager or Partners.
The Administrator will contribute to the effectiveness of the team by reflecting on own and team tasks and will make suggestions on ways to improve and enhance the team’s performance. They will promote development and maintenance of a quality learning environment throughout the Surgery.
The key responsibilities for this post are set out below but it should be noted that this is not an exhaustive list and there may be other matters that should reasonably be asked of the Administrator.
**MAIN DUTIES & RESPONSIBILITIES**:
**Administration**
- To have a thorough knowledge of all Binfield Road Surgery Policies and Procedures
- To work in accordance with all Binfield Road Surgery Protocols
- To work as part of an administrative team in a proactive, effective way, dealing with issues as they arise, and providing an efficient administration service to the Surgery
- To ensure total familiarity with the appointment system and report any problems or variations to the Operations Support Manager
- To assist in managing the appointment book, ensuring adequate clinical cover and aid with the organisation of additional clinics
- To maintain rapid response to incoming telephone calls and ensure appropriate action is taken and messages are recorded
- To ensure that communication from clinicians is dealt with appropriately and in a timely manner to ensure the effective provision of a clinical service to patients
- To ensure that prescription requests are dealt with appropriately in a timely manner
- To ensure the quality and accuracy of the Clinical systems by having an understanding of the importance of accuracy and continuity of updating the patient database
- To ensure that all administrative actions necessary for the achievement and improvement of QOF, local enhancement targets and any other schemes are undertaken on a regular basis; audited/surveyed as appropriate; and activity progress is relayed in line with the Surgery’s protocols
- Where appropriate to participate and assist with audits/surveys that the Surgery or its team members may undertake
- To provide administrative support to agreed service developments including organising and promoting additional clinics/sessions, contacting patients and ordering vaccinations/supplies
- To regularly review and develop protocols for working for the administrative function of the Surgery for consideration of the Practice Manager
- To provide administrative support to the management and clinical teams as required
- To provide from within the administrative team back fill support for the Surgery’s reception services as required
- To undertake delegated tasks as directed by the Practice Manager or Operations Support Manager
- To attend meetings and positively contribute to the work of the Practice team
- To liaise with the Operations Support Manager over leave arrangements and cover
- To monitor the effective operation of equipment in the Surgery and report defects to the Operations Support Manager
- To file and photocopy patient information adhering to confidentially
- To process in full new registrations including completing full workflow process on the clinical system, documenting when medical notes have been received (both paper and electronic) and summarising clinical information as required according to current processes
