Team/medical Secretary

We are looking for a motivated individual to provide a full secretarial/administrative service, including a high degree of note taking, for the Adult Community Team, based at the Civic Offices in Borehamwood.
- Full secretarial service to the Adult Community team, including administrative support to a psychiatrist and clinical team.
- Excellent record keeping, note taking in the form of professionals/business/Safeguarding/Team meetings (shorthand is not required).
- Excellent typing/document editing skills.
- Microsoft Office package
- Dictation system - full training will be given
- Ability to work under pressure and multi task meeting notes with other secretarial duties.
The post holder will be required to work as part of a larger admin team and support other secretaries workloads during times of absence.
Excellent IT skills, a good working knowledge of Microsoft office and accurate copy and audio typing skills are essential. This is a very busy and varied role, responsible for all aspects of administration and will involve service user contact, so good interpersonal skills are required.
To contribute to the provision of a comprehensive, efficient and effective secretarial and administrative service. To support the psychiatrists, junior doctors and ad hoc clinical staff with administrative tasks, including clinic letters, reports, appointment letters. Assist the team with room bookings and provide support to the Community Service Manager and other Professionals with day to day administration tasks, where necessary.
An integral part of this role will be the taking of notes for Professional and Safeguarding meetings, whilst ensuring that other administrative tasks are kept up to date, such as on-going database management using the Trust’s systems. The post holder will need to demonstrate the ability to prioritise workload, using initiative and mature judgement in decision making, whilst ensuring clear communication within the team.

To be highly proficient in the skill of note taking and be able to manage multiple meeting notes in their workload.
- Responsibility for ensuring all correspondence is accurately and appropriately presented using current methodologies and medical terminology used by the team.
- To be highly skilled and experienced in the full range of secretarial work practices, software programmes, and specialised functional terms.
- To use proficient internet skills to access, search and retrieve data relevant to team.
- To use touch typing, audio as necessary in daily work, using Big Hand Dictation system (training provided in Big Hand).
- To use knowledge, and experience to meet the needs of the teams by completing non-routine tasks on a daily basis.
- To update skills as necessary and attend mandatory training
- Ensure flexible approach to work and be able/willing to travel to other sites using own car within North Herts to take notes, if necessary.
- To access and update patient records using Paris database, although training will be provided.
