Role Purpose The Contract support will assist the site lead in leading a team to manage the tactical delivery for the assigned property and be the on-site key point of contact for the key stakeholders & client. The responsibilities will include site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.
Key Responsibilities
Supporting with scheduling activities for all work orders (Sunbury)
Supporting the onsite team raising, assigning, changing status, completing (including adding notes) WOs on Corrigo. Ensure all faults recorded are logged and assigned to the relevant teams and actioned within agreed SLAs
Actively chasing for job completion.
Oversee Corrigo for UK(occasionally EMEA)
Preparing monthly KPIs report, productivity reports, outstanding work orders report and any other Corrigo related reports using Corrigo data extract tool to support all levels of business (ME, workplace, cleaning, catering, security, mailroom
Liaising with helpdesk and wider workplace team for work orders’ escalation, providing constant feedback
Liaise with the operational team and third parties for task allocations
Book meeting rooms to allow maintenance works
Ordering materials and submitting PO request forms
Helping with IT issues with iPad, Corrigo app, password reset
Assist in training new starters on Corrigo
Assisting in submitting expenses
Consult and advise on ME calendar, including coordinating holiday requests
Assisting with Holiday, Sickness and Overtime submission
Supporting with presentation, signage, comms creation
Carry out regular meeting with workplace team to go over their outstanding WOs list
Support with the assessment of suppliers, ensuring regular reviews are completed and trended
Assisting technical service manager, engineering service managers and all supervisors on BAU activities
Assist with maintenance record keeping
Assist maintaining site logbooks and during audits both internal and external
Quality
Ensure QHSE documentation is maintained and readily available using JLL systems.
Manage COM system as key user on site including PPM records, reactive and reporting.
Develop, implement and manage operational systems to drive PPM and Reactive Task performance to meet the required SLA’s and KPI’s set out by the contract.
Actively identify/implement innovation across the contract to enhance performance and continue to meet client expectations.
To maintain and update both manual and computer records relating to areas for which JLL are responsible and keeping the shared updated.
2 + years experienced in facilities management within a corporate environment
Have competent knowledge of occupational health and safety requirements, critical facilities and vendor management for specialized services
Able to demonstrate capacity to understand and interpret commercial contracts
Confident in budget management and financial interpretation
Able to demonstrate superior people and contractor management skills
A strong communicator - good presentation skills and possess strong verbal & written communication skills.
Problem-solving skills - capacity to deal with ambiguity and solve complex problems effectively
The ability to effectively deal with high pressure situations
