Boardrooms Receptionist

We are looking for a professional and self-motivated individual to join our Boardrooms Receptionist team. The main purpose of this role is to deliver exceptional support across reception, boardroom, events and switchboard services for all internal and external clients. This is a part time, permenant position, working Tuesday to Thursday of each week, covering hours between 8:00am - 6:00pm, based out of our Bristol office. **About us** Osborne Clarke is an international legal practice with over 270 Partners and more than 900 talented lawyers in 25 locations*. And our unique approachable culture is not an added extra, it's fundamental to our success. **Key Responsibilities** - Welcome all visitors to the office, including registering external guests on our booking system (MSS), informing the relevant OC host upon their arrival, managing their introduction/handover and liaising with Building Security regarding security passes - Take ownership of OC's building access request inbox and book hot desks for staff due to be onsite - Manage the switchboard, answering and transferring phone calls to the right department, taking messages and managing the Avaya system so that all data is correct and up to date and allows efficient directing of calls - Book taxis on behalf of OC employees and clients - Manage room bookings and daily operations of the boardrooms, including regular room and equipment checks (e.g. stationery stock, cleanliness, coffee machine switched on, etc.), setting up and testing AV equipment (e.g. video conferencing) ahead of OC host's arrival, liaising with key teams (e.g. wider catering team, IT, events, document production, boardrooms in UK and Europe) as necessary to ensure all requirements are met - Keep our databases up to date with the correct information e.g. Interaction - Manage the collection and delivery of dry cleaning services - Deliver office tours to all of our new joiners - Assist in the delivery of the firm's events held in our Bristol office - Support the events team with the meet and greet, badge preparation, rooms set up and administration for on and off site events as and when required - Ensure all reading material on display in designated areas are up to date - Any other duties (or project work) that may be required to ensure the efficient operation of the Bristol (or UK) reception/boardrooms/switchboard services and other areas across the business **We are looking for** - Excellent customer service experience gained within a similar or client facing role - Outstanding interpersonal skills and a highly professional attitude - Great attention to detail - Previous experience working with meeting room booking / switchboard systems is useful - Maintain and practise a high degree of confidentiality and integrity at all times - Excellent communication skills (both written and verbal) - Flexible, enthusiastic, self-motivated, proactive, with a "hands-on" approach - Good IT skills **Salary and benefits** We offer competitive salaries and generous benefits. **For more information or to apply** No agencies please. - *Services in India are provided by a relationship firm_ - At _Osborne Clarke_ we value difference and encourage applicants from all social backgrounds, ethnicities, disabilities, gender identities, and sexual or romantic orientations.
