Personal Assistant to Chief Supply Chain Officer

**OVERVIEW**:
We're looking for an Personal Assistant to support our newly appointed Chief Supply Chain Officer (CSCO), (Laurent Madelaine) as a Maternity cover for 12 months. Your mission will be to provide the maximum efficiency and effectiveness through an exciting journey of Gymshark's accelerated growth and global expansion.

You'll have the opportunity to work in a fast-paced environment, as an Personal Assistant to the CSCO, your role will be to proactively support the Product & Supply Chain function. On a day-to-day basis, you will help to prioritise activities, identifying those with the biggest impact, ensuring the balance between corporate governance and ambition.

No day will be the same, with responsibilities spanning from diary management across multiple time zones, to planning complex travel around the globe, and the detailed agendas to accompany these trips.

**HOW YOU'LL SPEND YOUR TIME**:

- Acting as a single point of contact and support for Chief Supply Chain Officer
- Seamless and extensive diary management, with consideration of room and/or Zoom requirements, whilst being considerate of multiple time zones and travel requirements for all parties
- Proactive approach to preparation time for the Chief Supply Chain Officer's meetings, ensuring they have all the tools needed to conduct meetings effectively
- Meeting coordination, including agenda creation, minute taking, and where necessary following up on any subsequent actions
- Domestic and International travel planning and booking, ensuring all elements are considered such as parking, visas, transfers, flights, trains, etc. Ensuring that all travel considerations and safety is considered, in partnership with the Global Mobility Team
- Compiling of full and complete agendas for all trips to ensure the most effective use of time
- Accurate and efficient filing of expenses for both corporate card and personal expenditure
- Consideration around Chief Supply Chain Officer work/life balance and wellbeing

**WHAT YOU'LL BRING**:
**Essential Skills**:

- Proven experience as a Personal Assistant to C-Suite or equivalent
- Strong verbal and written communication skills, with the ability to adapt messages/tone of voice to differing audiences
- Proven experience in complex diary management across multiple locations, with differing time zones
- Ability to build long lasting, trusted relationships with all levels of the business
- Proactive and forward-planning, with the ability to work autonomously
- Experience of dealing with multiple critical demands from global teams
- Will have exceptional attention to detail and be an experienced planner with the ability to respond effectively and efficiently to change, all whilst remaining composed, with a good sense of humour
- Proven record of managing large amounts of confidential or business sensitive information, with an awareness of GDPR
- Comfortable with technology with an advanced knowledge of Microsoft Office Suite
- A highly structured, and methodical approach to coordinating tasks and anticipating future requirements
- A collaborative team player, always going above and beyond, and offering support to others where needed

**Preferred Skills**:

- Worked within a fast-paced global brand or equivalent industry
- Previous experience working with Notion & Slack
- Experience supporting executives for global brands
- Experience working within a Product function
