Manufacturing & Supply Chain Administrator

**Responsibilities**
- Purchasing, receiving
- Raise purchase orders
- Track and chase expected deliveries and overdue deliveries
- Complete goods receipt documentation
- Resolve issues where goods received doesn't match the PO in volume or quality
- Ensure that supplier assessments are conducted for new suppliers and on the defined frequency for existing suppliers
- Plan and set up regular meetings with key suppliers
- Stocking of parts and materials
- Maintain stock records
- Participate in stocktake activities
- Coordinate stocking levels in no-HQ locations
- Production planning, assembly
- Raise works orders, build sheets and associated documentation.
- Maintain Material Item Masters, Bills of Materials, Routings, Production Revisions, and other ERP inputs for manufactured items.
- Maintain work instructions and production/inventory area labelling
- Log overtime hours worked by staff in the department
- Shipping of products to customers
- Ensure that either shipping is arranged or coordinate with the customer/customer's shipping agent
- Support the labelling and packing of orders
- Maintain accurate records and appropriate export documentation
- Inform customers of shipping progress
- Shipping and investigation of returns
- Ensure that shipping is arranged for RMAs and coordinate packing, labelling and collection with the relevant customer or office
- Coordinate RMA investigations between Production and R&D
- Maintain statistics on RMAs
- Quality systems
- Support the improvement and audit of quality systems 14001, 19001, 27001, and 45001
- Finance
- Liaise with finance to ensure that invoice queries are quickly resolved
- Provide updated component costs for QAD and the Bidsheet
- General
- Supply such monthly reports as are required to the department head
- Maintain & develop positive business relationships with customers' and suppliers' key personnel with whom you come into contact
- Ensure that all tasks are in accordance with the company's Policies, Procedures and Work Instructions.
- Out-of-hours and overtime working may be required to complete specific tasks to meet customer requirements.
Desired/Essential Attributes
- Minimum of 3 years relevant experience working within a manufacturing environment is essential.
- Excellent attention to detail with good written and verbal communication skills.
- Proven experience in shipping, commodity codes and logistics with freight forwarders
- Maintain a positive work atmosphere by developing strong working relationships with colleagues and management.
- An ability to read and follow procedures and work instructions.
- Understand and keep up to date with company policies, procedures, health & safety regulations and plans and ensure they are followed.
- A team player who has the ability to work independently when required.
- Experience in meeting delivery and service expectation and targets.
- Experience in shipping and packing products for overseas shipment.
- Highly organised with good time management skills.
- PC literate with relevant experience of MS Office including Word and Excel.
- Knowledge and experience of using an ERP system for Purchase Order, Works Order & Sales Order Processing (preferably using QAD or Mfg. Pro).
