**Main Purpose of the Job**:
To provide a high standard of confidential administration that supports the vision and smooth operation of the church; to facilitate strong communication within the church community and be a welcoming and effective point of contact for internal and external enquiries.

**Administrative Responsibilities**:

- provide comprehensive and confidential administrative support for the effective operation of Ballyholme Presbyterian Church and its organisations, including typing, formatting, preparation and distribution of documents, photocopying, printing and correspondence.
- Omega database: input church members’ weekly giving as recorded in the ledgers by the Money Count Team; record and maintain details of the membership of the congregation, including identification of those eligible to vote; record attendance at communion services; record Gift Aid details; extract statistical and other reports as requested/ specified to inform decision making by the Treasurer, Kirk Session and Committee; explore the capability of the Omega database and expand its use.
- directly support the Minister, including dealing with a range of delegated duties.
- develop and maintain a church calendar for planning purposes and to facilitate the preparation of the weekly church announcements.
- participate in team meetings convened by the Minister and/ or the Clerk of Session.
- liaise with staff and volunteers to share information as necessary.
- retrieve and share information and prepare reports and other church materials and publications, co-ordinating with other contributors as necessary; these will include, but not be limited to: the membership directory, the annual report and accounts and documents for the Annual General Meeting.
- contribute information and update content on the church website and social media, liaising with relevant staff and teams.
- provide administrative support (including printing and formatting) in relation to the church newsletter and church events (eg tickets, flyers and posters).
- organise and facilitate access for external building services eg minor maintenance work, inspections of the gas installation, electrical installation, emergency lighting and fire detection/ alarm system.
- manage the day to day running of the church office and maintenance/ servicing of office equipment; order and store office supplies and consumables and check invoices for same.
- ensure returns to Presbyterian Church in Ireland (PCI) are made accurately and on time.
- adhere to the church’s policies and procedures, including those regarding Safeguarding, Health and Safety and GDPR.
- Ballyholme Presbyterian Church Pre-School - preparation for the Annual General Meeting, administration in relation to the intake criteria and the new intake.

**Financial Responsibilities**
- Record keeping: recording income raised through church members’ contributions to Freewill Offering (FWO) and other church funds (including direct debits and Gift Aid) on the church financial database, referring to the Treasurer as appropriate; preparing relevant summary reports of members’ contributions as required.
- Ballyholme Presbyterian Church Pre-School - maintaining Income and Expenditure records; payment of bills; reconciliation of petty cash and bank accounts; maintaining schedule of fees.
- Church petty cash - maintenance of the petty cash account in liaison with the Treasurer; handling cash pay outs; reconciling balance.

**Essential Criteria - Qualifications, Experience and Personal Qualities**
- Five GCSEs Grades A - C, including English Language and Mathematics or equivalent.
- Proven experience in office administration and Information Technology, including social media.
- Willing to work within the Christian ethos of the Presbyterian Church in Ireland (and the particular ethos of Ballyholme Presbyterian Church congregation).

**Job Types**: Part-time, Permanent

Pay: £12.21 per hour

Expected hours: 15 per week

Schedule:

- Monday to Friday
