London Psychiatry Clinic is expanding into an exciting new premises in the heart of **Harley Street**, and we are looking for a professional and personable **Front of House Receptionist & Medical Secretary** to join us on the next stage of our journey.
This is a unique opportunity to be part of a fast-growing and forward-thinking **private mental health clinic**, working alongside a dedicated and compassionate team of clinicians and support staff.
You will play a key role as the first point of contact for patients, helping them feel safe, heard and supported from the moment they walk through the door.
**Location**: 60 Harley Street, London, W1G
**Contract Type**: Full-time, Permanent
**Hours**: Monday to Friday, typically between 8:30am-5:30pm; some Saturdays
**Role Overview**
We are seeking a friendly, professional, and highly organised individual to join our team as a Medical Secretary & Front-of-House Receptionist. This hybrid role combines essential reception duties with administrative and medical secretary tasks to support clinicians, patients, and the day-to-day running of our clinic at 60 Harley Street.
**Key Responsibilities**
**1. Front-of-House Patient Support**
- Warmly welcome and check-in patients, visitors, and clinicians
- Maintain a calm, tidy, and professional waiting room environment
- Provide support to patients while maintaining strict confidentiality
- Inform clinicians of patient arrivals and manage real-time waiting area activity
- support billing processes and taking payments for appointments
**2. Reception Desk Administration**
- Respond to general enquiries about location, clinic hours, and non-clinical matters
- Support weekend or shift handovers and maintain continuity in communication
**3.Medical Secretary Duties**
- Support call handling and answer general phone enquiries and route messages appropriately
- Manage all patient communication for the respective clinic maintaining professionalism and confidentiality on all patient communications
- Proofread and send clinical letters and reports using secure systems
- Manage repeat prescription requests in coordination with clinicians
- Upload and manage clinical documentation on the patient records system
- Provide holiday and sickness cover for colleagues where required
**5. Post, Courier, and Stock Control**
- Log, distribute, and send mail daily
- Book and coordinate couriers for prescriptions as required
- Monitor and reorder clinic supplies
- Assist with basic printing and clinic stock preparation for clinicians
**6. Health & Safety and Facilities Support**
- Conduct regular premises checks for cleanliness, safety, and functionality
- Support fire safety procedures (evacuation, alarm testing, first aid readiness)
- Escalate and log any building or maintenance issues
- Monitor and support equipment compliance (defibrillator, fire extinguisher checks)
- Support the Admin Manager and Practice Manager with routine audits and compliance logs
**Skills & Experience**
- Previous experience as a medical secretary or receptionist in a healthcare setting
- Excellent written and verbal communication skills
- Strong organisational skills and attention to detail
- Confident using G-Suite (Docs, Sheets, Gmail, Calendar)
- Familiarity with Carebit or other patient record systems is advantageous
- Friendly, professional, and calm under pressure
- High standard of discretion and respect for patient confidentiality
