The role is busy and diverse and the successful applicant will have proven experience working in an administrative role, excellent communication and computer literacy skills, a good working knowledge of Microsoft Office, including Excel and high level organisational skills. Previous experience of working within the NHS and use of RiO is desirable.

The successful applicant will be expected to work on his/her own initiative as well as a part of a team. The admin team work Monday - Friday, in line with service needs.

To be part of the administrative and clerical team within the Bexley Neurorehabilitation team.

To have an overview of all the administrative duties within the service in order to be able to provide cover in the event of leave and vacancies.

To provide administrative support to Neurorehabilitation staff working in the community.
Oxleas offers a wide range of NHS healthcare services to people living in South East London and Kent and to people in prison. Our services include community health care such as district nursing and speech and language therapy, care for people with learning disabilities and mental health care such as psychiatry, nursing and therapies. To provide administrative and clerical support to the therapy team.

Opening, sorting and distribution of post and any relevant correspondence.

Processing new referrals and information, recording appropriate data onto spreadsheets, waiting lists and sending acknowledgement letters, including the use of RiO to its full functionality for the services.

Ensure all referrals are registered, scanned and uploaded on RiO daily.

Preparation of information for example, patient files, letters, reports, in line with local policies and procedures.

To undertake audio and typing duties to include letters, service documents, and reports containing terminology relating to therapies, nursing and psychology, as required.

To collate, photocopy and distribute reports and other relevant information to, for example, education staff, G.P.s, internal/external agencies, following local policies and procedures, ensuring that appropriate consent has been received.

To book clinic appointments, clinics, meetings, rooms and interpreter services as required for Bexley Neurorehabilitation clinicians.

To collate agenda items, take minutes at team meetings and distribute information to team members as requested.

To liaise with internal and external agencies, on behalf of the team to facilitate the resolution problems related to equipment used by the team, for example computer, printer, photocopier, telephone, internet access and so on as requested.

To participate in the organisation and coordination of study days or training.

To gather data as requested, for example, activity data and statistics, providing punctual and accurate information following departmental and local trust guidelines as required on a weekly, monthly and quarterly basis.

To support the Team Manager to maintain records relating to study leave, sickness and annual leave, by use of diary and/or Healthroster, on a monthly basis.

Establish and maintain effective working relationships with patients, carers, the general public and all other staff working internally and externally to the trust.

To take account of and act according to individual patient circumstance, giving due regard to cultural differences and diversity of patients, carers and service users in the Borough of Bexley.

Ensure consistent and robust reporting of patient related information on RiO as requested and according to local policies.

To provide input of service development ideas to the administrative team and develop current administrative procedures, facilitating on-going and efficient processes within the department as required.
