**Role: Personal Assistant to Chief Executive and Chair**

**Contract: 3 month initial contract

**Pay: Level 7- Salary £33,500 / £17.11 per hour**

**JOB PURPOSE** To provide a confidential high quality administrative support service for the Chief Executive Office. Covering a range of administrative and assistant functions, the PA supports both the CEO and Chair in fulfilling their role effectively and efficientlythrough diary and correspondence management and wider administrative support. As such, this role directly contributes to Sport England achieving its strategic ambition to give everyone in England the chance to benefit from sport and physical activity.

**KEY DUTIES AND RESPONSIBILITIES** **Diary management**
- Provide high-level diary management to the Chief Executive, ensuring accuracy and attention to detail across all appointments. Prioritisation of conflicting tasks to ensure the smooth running of what is a busy diary day-to-day
- Occasional administrative support to the Chair's Sport England diary, working with external colleagues
- Proactively manage the Chief Executive and Chair's travel and accommodation arrangements

**Correspondence management**
- Actively monitoring and prioritising the Chief Executive's and Chair's incoming/outgoing correspondence, facilitating timely responses

**Administrative support**
- Regular liaison with CEO to ensure alignment on priorities and to follow up on key actions
- Managing CEO and Chair's monthly expense reports
- Work flexibly to carry out any other duties where directed and capacity allows, including ad-hoc administrative support when working in the office
- Follow and implement organisational policies and procedures (e.g. Health and Safety, Procurement)

**Essential knowledge and experience**

Significant experience of providing high level PA support, with a track record of managing the office of a Chief Executive or equivalent senior decision-maker

Experience of complex diary management, including balancing conflicting priorities and making travel arrangements

Previous experience of co-ordinating administrative systems and processes across a number of associated functions.

Previous experience of successfully building and managing effective relationships with high level stakeholders, internally and externally, quickly establishing credibility, and effectively influencing at all levels

Experience of managing expenses on behalf of a senior Executive

**Essential Skills**

Excellent attention to detail including written and oral communication skills, including the ability to present complex messages at a high level

A proven ability to interpret, analyse and disseminate complex and sensitive information appropriately

Excellent analytical and problem-solving skills including the ability to take an innovative approach to identifying and removing blockages to achievement

Proven ability to create and sustain confidence in business relationships through stakeholder management

Ability to work effectively as part of a team

Strong ability to manage own workload and deal with changing priorities
