**Overview**

**Job Purpose**:
To provide excellent support to all colleagues within our pupil support team as well as to our pupils and their families.

**Key Tasks**:
**Attendance**
- Check and chase a.m. registers, recording lates and taking calls/messages for pupils absent that day. Priority for those on vulnerable/disadvantaged pupils list
- Make first day contact. Follow up calls for non-response/unsatisfactory reasons for absence
- Conduct joint home visits when required
- Check and chase p.m. registers
- Make arrangements to ensure that parents/carers who wish to take their child out of school during term time are contacted and the potential consequences explained
- Work closely with the parents/carers of targeted pupils, forging positive and constructive relationship in order to engage parents/carers and provide support to get pupils to return to school at the earliest opportunity
- Keep in weekly contact with long-term absentees, accurately recording outcomes of communication in the relevant attendance log
- Contact parents/carers where absences have remained unexplained despite previous intervention seeking and securing relevant evidence to ’authorise’ the absence
- Provide administrative support in preparing detailed and accurate cases for referral through the EHA as directed by Heads of Year who will lead on the EHA and for
- where court action is required. Liaise with the Court Officer to initiate proceedings and follow identified protocol.

**Admissions**
- Facilitate the school’s in-year admissions process so that it is run in a timely and effective manner
- Ensure prospective pupils and parents/carers are guided and encouraged through the admissions process in a professional, helpful and efficient way
- Liaise with relevant members of staff to organise meetings with prospective parents/carers as required and communicate start dates, sharing relevant information with staff
- Accompany visitors to specific areas of the school to ensure the smooth running of visits and give tours of the school when requested
- Ensure prospective parents/carers, pupils and feeder schools are informed of entry dates in a timely manner
- Record and maintain requests to leave the academy, liaising with the admitting school and ensuring all required information, including safeguarding records, are transferred in a timely manner and that SIMs reflects an accurate role including pupil’s enrolment status.

**Pupil reception**
- Facilitate pupil reception including the sale of equipment and distribution of replacement timetables etc
- Facilitate our morning uniform hub to ensure pupils are dressed accordingly for the day ahead, ensuring items are returned at the end of the day
- Facilitate and, where applicable, supervise pupils who are unwell until they are collected by their parent/carers
- Support pupils in paying monies onto their ScoPay account for food.

**General**
- To triage incoming calls to the pastoral team
- To make and manage appointments with parents/carers and other stakeholders on behalf of the pastoral team eg: TAF/CIN,ACE, Counsellors etc
- Manage room bookings for meetings
- Typing of reports eg: TAF’s / Behaviour Management Plans and uploading of reports to

ClassCharts
- Complete relevant paperwork and communicate suspensions to parents/carers and the local authority
- Collation of pupil statements where required and support in preparing paperwork for governors pupil disciplinary meetings
- Production of behaviour monitoring cards
- Update intervention registers and distribute timetables where applicable
- Reprographics support for the pastoral team
- Support the administration of the pastoral team—praise postcards, uniform monitoring, toilet/ exemption cards etc
- Assist the Heads of Year with updating praise and notice boards around school
- Production of detention lists and assist in their distribution
- Assist with marketing activities including weekly updates on social media.
