Job Title: Legal Secretary/Support Staff

Responsible to: Head of Department

Department: Residential Conveyancing Department

Work Pattern: Full-time - Hybrid - 3 days in the office, 2 days wfh

Location: Greenwich or Blackheath office

**JOB PURPOSE**

To provide a high quality legal secretarial service and support for the firm’s legal team.

**ORGANISATIONAL POSITION**

Reporting to the Head of Department. Working in a team of secretaries providing support to the firm’s team of lawyers

**KNOWLEDGE, TRAINING AND EXPERIENCE REQUIRED TO DO THE JOB**

Suitable and relevant secretarial qualification(s)

Minimum 3 years recent legal secretarial experience within residential conveyancing

Excellent typing skills

Good working knowledge of English business grammar

Computer literate in Word, Excel, Outlook, digital dictation software, Oyez forms, knowledge of client record / tracking databases

Adaptation and use of forms and precedents obtained from LexisNexis

General administrative skills

**ROLE OF LEGAL SECRETARY**

To provide legal secretarial support to the conveyancing lawyers including:
Typing letters, correspondence and documents relating to conveyancing work

Prepare Contracts of Sale of properties

Prepare TR1/AP1

Use the Land Registry’s On Line service

Stamp Duty Land Transaction Returns

Opening new matters

Client liaison - Dealing with clients on the telephone and in reception. Passing messages to fee earners

Preparing Bank transfer forms

Bills and Completion Accounts

General administration - all other required admin duties such as photocopying, filing, scanning, producing labels

Working as part of a team and ability to meet deadlines.

Other teams - providing secretarial cover to all other teams when required

**KEY RESULT AREAS & PERSON SPEC**

Typing is up to date

Admin and housekeeping is up to date

Files are opened and maintained to the Lexcel practice management standard as set out in the office manual

Clients are dealt with professionally and efficiently

Working to deadlines whilst maintaining a high standard of typing

Working in a fast paced and busy department

Managing a multitude of deliverables

Working in an open plan office in a team environment

**COMMUNICATIONS AND RELATIONSHIPS**

Communication with Partners and legal team members

Communicating with clients

Communicating with other secretaries, admin support team & accounts

**SYSTEMS**

Working on Microsoft Windows 8, Outlook, Winscribe digital dictation, Tikit case management system, Oyez legal forms, the internet, and other systems introduced by the Partners from time to time.

**Job Types**: Full-time, Permanent

Pay: £30,000.00-£35,000.00 per year
