To provide an efficient, effective, confidential administration/secretarial/reception service within an adult mental health inpatient ward.
This role requires an experienced professional secretary who has a flexible approach to work and the ability to prioritise and work on their own initiative. Responsible for all aspects of secretarial and administrative support to clinical and medical staff in relation to patient care.
- The post holder will be based on Rowan 1 Ward, Highbury Hospital.
- The post holder under the supervision of the Admin Team Leader & Ward Manager will be responsible for ensuring that accurate work is completed within the time limits, framework and standards set, providing an administrative service for the ward.
- Part of an administrative team comprising across the wider aspect of AMH, providing support and cover as required, with specific cover to the clinical team and Ward Manager
- Provide cover in the absence of colleagues and where service demands, this may include occasional cover at other sites.
- To work within the provisions of the Trust Health and Safety Policy.

Rowan 1 Ward, Highbury Hospital
An exciting opportunity has arisen to join the ward team in the role of a Patient Secretary on Rowan 1 at Highbury Hospital. We are keen to recruit a proactive and motivated individual to join our friendly ward team as a Patient Secretary. Rowan 1 is a 16 bed male acute mental health ward. We provide care for individuals aged between 18-65 who are in crisis or requiring assessment and treatment for a mental health disorder/concern.
You will have good communication, interpersonal, decision making and prioritising skills with the ability to work as part of an effective team or using your own initiative. You will have a flexible and adaptable approach to work. You will also have knowledge of Health and Safety, Risk Management and an understanding of the need for confidentiality.
You will be required to give efficient clerical support to the ward manager, nursing staff and patients within the unit. Previous experience of working as a ward clerk/patient secretary would be desirable.

Provide an efficient secretarial/administration/reception support service. To deal efficiently with all correspondence, monitoring telephone enquiries and providing information as appropriate. To ensure patient admissions/discharges are processed and to timely input, update, maintain information and resolve queries on the patient database.
To undertake office duties including diary management and message management, opening and distributing mail, operation of brought forward systems, production of documents, typing and audio typing, photocopying, collating of documents and electronic filing as well as general administration support services. To deal with requests and enquiries and forward them to the relevant team member.
Using Microsoft excel produce reports, graphs, charts as requested. To ensure patient’s notes are pulled, requested and tracked in a timely manner in preparation for the ward reviews and ensure any follow-ups are actioned.
To support clinical staff to ensure that data is recorded onto RIO in line with data quality and timeliness requirements, as indicated by the Trust. Update information boards as directed by clinical staff. Produce high quality reports within agreed deadlines as required.
Facilitate meetings/investigations/disciplinaries including producing and circulating agendas, recording attendance and accurate minute taking.
