The North Staffordshire and Stoke on Trent Integrated Musculoskeletal Service (NIMS) is looking to recruit an team-orientated Administration Assistant on a full time (37.5 hours) basis to join our friendly Admin team.Part time hours will be considered.This position will likely be based in Newcastle, however, there will be a requirement to travel to other clinic locations within the North Staffordshire and Stoke on Trent area.
**Responsibilities**:
- Taking calls, booking patient appointments & dealing with queries from patients, relatives, staff and other agencies
- Supporting clinical services including scanning, filing, creating and sending clinic letters and supporting projects and audits as required
- Use of electronic patient records system for booking patients & use of Office 365 packages
- Being part of the wider administration team in NIMS
- Actively contribute to service improvement and be involved in patient engagement
You must have good written and verbal communication skills, the ability to communicate clearly, sensitively and calmly on the telephone with patients who may have communication difficulties. Previous experience of administration and booking systems and experience of working within the NHS would be an advantage but not essential as full training will be given.
This is a busy environment to work in with constant demand for appointments and supporting our clinical staff, but you will be working with a great team of people who will support you along the way.

KEY RESPONSIBILITIES
To support the North Staffordshire and Stoke on Trent Integrated Musculoskeletal Service across Northern Staffordshire by delivering the following:
- To receive telephone calls internal and external from hospitals and other community teams; communicating effectively with patients, relatives and colleagues at all times
- Act at all times in a manner which respects privacy, dignity and confidentiality
- Provide general office duties effectively and efficiently, including photocopying, laminating and processing internal and external mail
- Arrange appointments including patient appointments and meetings as requested
- To undertake appropriate use of databases & software such as Microsoft Office including computerised diaries
- Ability to travel to varied locations in order to carry out duties as appropriate
- Cover for other administrators within the wider North Staffordshire and Stoke on Trent Integrated Musculoskeletal Service during times of absence as agreed with line manager
- Prioritise own workload in order to meet deadlines required for Directorate
- Maintain the work environment in accordance with Trust Policies particularly Health & Safety policies
- Is aware of own limitations and seeks assistance as appropriate
- Be familiar with all the Trust’s policies and procedures
- Be responsible for own personal development, including keeping up to date with Mandatory training & training within the team
- To support equality, value diversity and promote peoples’ rights
- Undertake other duties as may be determined from time to time, commensurate with the role and general responsibilities of the post
Education and Training
- Attend courses / lectures as indicated by the needs of the service and as required by the post and disseminate new knowledge and skills appropriately.
