As a **Senior Project Executive** to the AEE family you will support the Project Managers and other Business Unit Team members in all aspects of the event management process and delegate experience.

You will be travelling to site, around the globe, as part of an on-site team delivering first-class large-scale events supporting Project Executive and Administrators, while delivering customer service in line with clients' objectives.

Our offices are based in Ashby-de-La-Zouch; however, we will provide the opportunity to work flexibly between the office and from home around your events.

**What you will be doing.**:

- You will be a primary contact for clients on smaller events, leading on communications, meeting all expectations and managing supplier partners for smaller event types
- Setting up event websites and managing the attendee management process from meeting registration and invitations, attendee details, travel, venue and housing, transportation and attendee spend
- You will manage delegate requests, attendee communications, associated timelines, and logístical information, produce delegate packs, signage, badges, on-site manuals, maintaining databases and systems and using client drive systems where applicable
- You will order uniforms, currency, mobile phones, laptops, and other on-site equipment as requested
- Assist with the selection of venues and the production of event proposals, maintaining good long-term relationships with hotels, venues and suppliers, to ensure the best value for money for our clients
- You will communicate all aspects of attendee management with your Project Manager, from database reports, travel, housing, and ground transportation for client meetings and project management
- You will ensure financial budgets and costings are tracked accurately delivering financial aspects of events, after assisting with budgets and final reconciliations within agreed timelines and identifying cost avoidance and cost saving measures
- You will assist and comply with company and client invoicing processes, and provide effective scope management throughout the programme course
- Achieve all client and / or company driven Service Level Agreements (SLAs) for all events
- Attend educational trade shows to ensure continuing knowledge of cities and trends within the industry and share these with colleagues
- Assist new starters in the role of 'Buddy' when required, training other team members where identified
- Attendance and contribution at team and company meetings having effective interactions with other departments across the business

**What you need to have.**:

- Meetings and Event Planning Experience: Minimum of 1-2 years of experience preferred
- Relevant industry knowledge up to date with market changes
- Display an understanding of compliance, including ABPI and Pharma Guidelines
- This role requires a level of physical activity - You will have the ability to lift, carry and otherwise move up to 10 pounds on a regular basis, to sit, stand or walk for various lengths of time throughout the day, and the ability to commute on a regular basis by all modes of transport
- Ability to use technology and office equipment on a regular basis
- Experienced in project management for exhibitions with excellent overall technical knowledge and commitment to service excellence
- Proactive organised and methodical
- Strong communication skills and relationship building skills
- Cost efficient time management skills
- Excellent written, verbal, literacy and numeracy skills with a keen eye for attention to detail

- Positive/can do attitude
- High expectations of quality
- To ability to keep up to date with trends in the client industry sector and the meetings and events industry, by reading trade journals and attending relevant forum
