**Job Summary**

The Finance & Admin Assistant will be responsible for the day-to-day management and reconciliation of Financial Accounting and functions including banks, petty cash, credit cards, purchase ledger invoices, staff expenses and staff travel.

The Finance & Admin Assistant will be responsible for the month-end duties and closure process for the above areas of Financial Accounts, as well as any regular and/or ad hoc reporting requirements and will also be responsible for all admin related tasks.

**Responsibilities**
- Help manage both sales and purchase ledger across multiple entities.
- Process and reconcile invoices for goods and services received and provided in multiple currencies.
- Data entry for petty cash, bank payments/receipts, credit cards and coding them into the accounting system.
- Liaise with vendors and internal departments to resolve invoice discrepancies and ensure timely payments.
- Conduct regular reconciliation of purchase orders, delivery notes, and supplier invoices.
- Assist in generating reports on accounts payable and receivable activities - aged creditor and debtor reporting.
- Support the preparation and processing of payments for vendors and freelancers.
- Maintain organised records for both sales and purchase ledger transactions.
- Assist in month-end closing activities, including reconciliations and reporting.
- Provide support for audits by preparing relevant documentation and reports.
- Assist in special projects as assigned by senior finance team members.
- Coordinating with different department heads to ensure all their administrative requests are met.
- Arrange Purchase/payment orders requests
- Manage office consumables inventory.
- Manage travel and event booking.
- Manage Guest house requirements.

**Requirements**:
**Person Specification**:

- Have an Accounting and Finance (or equivalent) degree.
- 2-3 years of prior finance and accounting experience in a similar role
- Prior working knowledge of an accounting software-Sage50/SAP
- Proficient in Excel and accounting software (V-lookups, Pivot Tables etc.)
- Excellent time management and organizational skills.
- Strong communication and interpersonal skills.
- Ability to work independently and collaboratively.
- Ability to process and manage high volumes of data.
- You will have a logical and methodological approach and be able to solve problems in a quick and effective way.
- Be a team player

**Desirable**:

- Proficient in English and Arabic
- **Educated to a degree level
- **Extensive experience using Adobe Acrobat Reader
- **Strong computer and IT knowledge is essential including a strong working knowledge of all MS Office software. HTML and CSS knowledge and experience.
- Experience using Sage line 50
- **Have strong MS Excel skills (V Look Ups and Pivot Tables)
