**What will you be doing**:
This is an exciting opportunity to join our team as a Calibration Administrator where you will organize and control the day to day departmental communication and assist with work planning within the Calibration department.
You will provide support to the Computerised Maintenance Management System (CMMS) and Calibration Lead, supporting all aspects of both Calibration and the operation and maintenance of the database.
You will cover the administrative activities required for the calibration team and some of your key responsibilities will be to:
- Organise and control of Calibration External Servicing and Equipment Calibration,
- Liaise with calibration third parties to request quotations to schedule the sending of equipment for service, repair and recertification, raising of Purchase Orders
- Control and Monitor External Accounts ensuring that the Accounts Payable function runs smoothly and invoices are being paid in full on time.
- Act as the main point of contact between CooperVision and external Calibration / Servicing companies or equipment controlled by the calibration department.
- After suitable training provide personnel with requested information on the calibration and status of assets held within Toolbox.
- Raise department purchase requisitions and submit for approval, ensuring that all cost have been previously budgeted.
- Maintain department approved contractor/supplier data files, ensuring all information is kept regularly reviewed. Perform six monthly verification that all ISO 17025 certified suppliers maintain their certification..
- Manage the secure storage of inactive calibrated equipment ensuring that each item is identified with a tag stating its current calibration status.
- Regularly review the department electronic training records
- Maintain a contractor calendar and advise manufacturing departments prior to any scheduled calibration work on site that may affect manufacturing.
- Log and manage all external calibration activities,
- After Suitable training, act as administrative coordinator of the Blue Mountain Asset Computerised Maintenance Management System (CMMS)
**What skills and experience should you have?**
We would like you to have the following experience
- Proven Administration/Coordination experience in busy office environments
- Strong Planning and Organisational skills
- Ability to manage expectations in the appropriate way and demonstrate assertiveness
- Competent MS Office skills - Excel, Word, Powerpoint
- Ability to use systems in and administrative capacity
