**Office Management**:
- Ensure risk assessments are adhered to and health & safety, first aid box and other monthly checks are up to date and completed within the office
- Main point of contact for the main office, including, keys, meeting room bookings, invoices
- Manage the printer contract, order refills
- Some finance support and basic finance tasks including book keeping, petty cash, service user accounts verification in/out expenditure
- Stationary orders, invoicing & payments
- IT support - helping staff to iron out any IT issues, ensuring staff use backed up file storage systems
- Database updating - changes of contact details, campaign signatures, regular donations
- Basic staff admin support, as needed
- Arrange for any repairs
- Note taking and meeting minutes distribution
- Weekly, fortnightly, monthly and quarterly checks to be carried out as per specified and in accordance to the role and advised by the Registered Manager
- PPE weekly stock order checks and placing orders
**As part of the team, your role involves**:
- Pick up parcels, post and distributing accordingly
- Cleanliness of the office by cleaning the office twice a week, empty bins, wipe surfaces, kitchenette area, toilet, dust and wipe down all desks and surfaces including the shelves
- General office upkeep - removing boxes, tidying, recycling etc
- Assistance with staff management, staff sickness, including working hours via Atlas platform
**Person specification**
Applicants are encouraged to include voluntary experience to demonstrate that they meet the criteria below, as well as any paid work.
**Essential**
- One year experience of working within a Administrative Role
- Professional Communication Etiquette
- Experience of office management for a small organisation
- Excellent I.T skills, including Microsoft 365, Word, Excel, PowerPoint, OneDrive, Shared Drive
- Basic book keeping or budgetary experience
- Experience updating and managing a contact database
- Good organisational skills
- Commitment to working cooperatively
- Self starter; manages own time and workload independently; copes well under pressure
**Desirable**
- Knowledge of some or all of the following: Care Quality Commission, Local Authority, Care Act, Health & Safety
- Experience of working in a Domiciliary (Homecare) organisation
- Knowledge of office risk assessments and health & safety compliance
