**KH Operations comprises of the following areas**:
- Banking Operations - Banking, On-Line Banking, Visa Cards, Open Banking
- Fees and Billing
- Securities Operations - Settlements, Corporate Actions, Transfers, Custody and Custodian oversight, Stock Data Management.
- Middle Office - Private Banking and Investment controls and reporting (including CASS and other regulatory reporting)
- CDD/AML Client On-boarding and periodic reviews
- Relationship Management and oversight of 3rd Party Suppliers where Operations is the lead stakeholder
- Core system custodian - re-certifications, User Acceptance Testing and Subject Matter Expertise
- Operational Projects, End to End Process continual improvements
- Operations SMEs for tactical and strategic projects
- Credit Administration
**Summary of the key purposes of the role**
- To provide an efficient service to clients/counterparties by investigating issues efficiently and effectively.
- To work as part of a team, with cross training and assisting on all tasks within the department when needed.
**Summary of responsibilities**
- To ensure an effective and efficient service is provided to clients and ensuring standards and deadlines are met by
- Input/Authorisation of outward client Sterling and Currency Payments, via a variety of platforms
- Repair and route client payments input over digital platforms -On-line Banking/Web series/Mica/E2GEN/MT101's
- Input/Authorisation of account transfers
- Processing of Inward Payments in accordance with CASS rules
- Undertake all client queries relating to cash transactions In and Out
- Monitor all cheques outstanding and work with front office to achieve clearance. Reconcile any dormant cheques
- Input/Authorisation of correcting entries
- Daily review and clearance of Recs/Investigations/Queries
- Work with Internal stakeholders across the wider Business, Front Office/Middle Office/Back Office Teams, for BAU requirements, complaint handling, queries, and support.
- Communicate effectively as a Team, via huddles, digital practices
- Support Project initiatives, engage in cross training and development needs
- Support the Management Teams in other duties identified
- Continually review processes, procedures, and systems, in conjunction with the team and the rest of the business as appropriate, to ensure that opportunities for improvement are recognised and acted upon and changing customer needs are met.
- Investigate complaints, queries and problems from internal and external clients and suppliers, digging deeper to understand the underlying issues and acting to ensure they are appropriately addressed.
- Identify issues and problems with data, service quality, recommending improvements and seeking approval for action.
- Provide support to colleagues, sharing information and helping when needed.
- Ensure adherence to KH Internal controls standards, systems and procedures that appropriate standards are maintained in all aspects of operational risk and compliance which are endorsed by subsequent audits.
- Develop and sustain a broad technical knowledge across a wide range of products and services.
- Update personal knowledge of regulatory and wealth management market, ensuring that the reputation of KH is upheld to the highest level possible in terms of compliance and reputation internally and externally and consider treating customers fairly.
- Check and review own work for completeness and accuracy, identifying and correcting any discrepancies or errors
**Competencies**
Essential
- At least 5 years previous experience of Swift, Banking, Payment Routing and Clearing.
- Previous experience with reconciliations and Payment queries.
- Able to handle internal client enquiries courteously, efficiently, and professionally
- Knowledge of banking practices.
- Considers options available and finds best solutions to meet client needs.
- Able to effectively plan workload based on priorities and deadlines
- Works to high standards of accuracy, quality, and attention to detail
- Able to effectively perform different tasks depending on needs
- Can communicate information and ideas clearly to team and internal clients
- Can work as a Team, sharing knowledge, experiences, and support.
