Virtual Production Coordinator

**Description**

Founded in early 2021, our organisation is now central London’s largest film studio; having grown rapidly to meet the demands of film production in the UK and has welcomed a number of blue chip productions including BBC, Disney, Netflix, Amazon as well as other independent productions.
We are looking for a Virtual Production Coordinator.. is that you?
**Duties**
- Assisting the Heads of Commercial and Community Engagement and external stakeholders with studio tours and initial sales discussions.
- Capturing the Client’s brief for review (including reviewing scripts, storyboards, flagging potential issues or requirements, before uploading and storing all client information on the booking system.
- Coordinating shoots; working collaboratively with the technicians, Head of Commercial and stakeholders to ensure that the client has a successful shoot from conception to delivery (including equipment hires, green/makeup rooms, prop deliveries etc.
- Responsible for actioning documentation relating to VP shoots; including contractual agreements, pre-shoot checklists, Health & Safety proformas, covid safety, risk assessments, call-sheets, studio day sheets etc.
- Upselling services such as parking, catering, and equipment working closely with Client Services, Head of Commerical and Reception.
- Greeting VP clients upon first arrival to studios, ensuring customer service experience remains proficient and professional.
- Ensuring all Clients adhere to signing in procedures, supporting the implementation of security passes and covid health & safety procedures.
- Diary management: managing the VP bookings calendar and updating the studio-day sheets.
- Responsible for the reconciliation of all Virtual Production shoots; ensuring that all post shoot information is communicated, and invoicing is sent to finance for billing.
- Supporting the Facilities Manager with coordinating downtime availability for repairs, checks and annual services of the VP Stage.
- Supporting the VP Technicians with fire disablement forms and general fire safety.
- Relationship building; working closely with stakeholders and collaborators to enhance the delivery of our Virtual Production capabilities.
- Supporting inventory checklists of stock and technical gear in the virtual stage.
- Assisting in the setup of specialist or social events which involve Virtual Production. This will include specialist demo’s, downtime demos, Metfilm School sessions, pop up events and stakeholder partnership events.
- Maintain accurate and detailed documentation of production activities, Client interactions, and stage usage. Prepare regular reports for management review.
- Stay informed about the latest developments in virtual production technology and practices. Participate in training programs to enhance personal skills and improve stage operations.
- Work with the Technical Art team to produce demos, Client work and research & development.
- Provide producing services to incoming clients and productions on request.
**Essential criteria**
- Excellent organisational and coordination skills, with the ability to manage multiple tasks simultaneously.You are proficient with Microsoft packages.
- You can communicate clearly and effectively and present well to clients/staff.
- You can demonstrate a hard-working attitude and are motivated to do the best job possible with a proactive approach to tasks.
- You are honest and able to admit to and take ownership of your mistakes and know when to ask for help.
- You are punctual and well groomed.

**Required Experience**
- You have at least 1 years experience working in virtual production, film production, or a related industry.
- Proven track record of strong communication and interpersonal skills, capable of maintaining strong client relationships.
- You can demonstrate strong problem-solving ability, with a proactive approach to identifying and resolving issues.
- You are demonstrate familiarity with technical sales processes and the ability to assist in sales efforts.
- You can demonstrate strong attention to detail and commitment to quality.
**Desirable criteria**
- Understanding of Virtual Production technology, software, and workflows.
- You have knowledge and experience using FOX or a similar CRM operating system.
- You have an interest or knowledge of sustainability especially within TV/Film/Media.
- You are astute to or willing to learn about the core business of the film studio.
