**Purpose of the Post**

**Key Duties and Responsibilities**

**1. Overview**
- Working closely with the Operations Team Leaders to support the operation of the operations database.
- Responsibility for the timely import of data from multiple sources into the database.
- Building and maintaining efficient processes to ensure accurate record keeping.
- Providing support and training for all users of the database.
- Data selections, analysis and reporting on a number of complex datasets.

**2. Responsibilities**

**Data management**
- Maintain data quality within the database by following a regular housekeeping calendar and data.
- cleansing procedures.
- Responsible for staff and volunteers’ access to the database and their ability to enter data to the
- appropriate standards in conjunction with Operations Team Leaders.
- Responsible for the import of online and offline data feeds via multiple channels into the database.
- Ensure data is prepared and mapped correctly in line with end user and organisation requirements, and
- that imports are carried out in accordance with agreed timescales.

**Data development**
- To manage database improvement projects as agreed with the Data Manager though initial.

investigation, development and implementation.
- To develop the digital dataset within the database in association with the Operations and Business Support Teams.
- To establish effective techniques in coordinating & consolidating complex data requirements from
- stakeholders.
- To be creative in the way the system is used, making suggestions to ensure that maximum benefit of
- the database is achieved.
- To propose new initiatives for data improvement projects to stakeholders.

**Data analysis and reporting**
- Responsibility to report to SLT and Team Leaders on a range of data sets required to monitor and evaluate services and their impact.
- Proactively communicate detailed data analysis and business intelligence based on a complex data set in a format that is presentable to stakeholders.
- Design and implement reports to be presented to senior management and external funders.

**Data support**
- Champion effective use of the database and data accuracy and lead in making others more data literate and able to access information.
- Train new & existing staff through periodic walk-throughs / modular training ensuring that data always remain high quality in accordance with statutory & best practice standards.
- Respond to and deliver end user requests in a prompt, friendly and effective manner in accordance with agreed SLAs. Effectively manage user expectations.
- To take primary responsibility that database documentation is maintained and available to end users.

**Data administration**
- Adhere to data protection legislation and regulations. Keep abreast with latest developments and
- guidance from the charity and data protection regulators on data protection.
- Audit the database regularly to ensure data is clean, accurate and that staff are following procedures for data entry and management.
- Liaise with third party suppliers to ensure the database and associated tools are working effectively, issues are resolved in a timely fashion and keep abreast with new developments.
- To ensure that all database processes are run in compliance with audit regulations and good practice.

**Additional Occasional Responsibilities**

As a member of a small team, the post holder will be expected as necessary to support colleagues by:

- Identifying appropriate sources of information, advice, benefits, equipment and services which carers can access, and updating shared resource information to reflect this.
- Actively contribute and participate in publicity events and represent Carer Support Wiltshire in a positive manner and to raise awareness of carers’ needs.
