**Job summary**:
Defence Business Services (DBS) provides a wide range of corporate services, to over 1.2 million end users, including serving and past military and families, as well as MoD civil servants and industry. DBS Civilian Personnel provides a wide range of HR expert and service delivery, including pay and recruitment services across MOD and its armed length bodies.

The Commercial Delivery Partner (CommDP) is a strategic initiative to help the MOD to meet its procurement needs more flexibly. The pan-MOD CommDP programme gives quicker access to external resources to meet changing and emerging demands from the procurement pipeline and transformation initiatives. It is an additional route available to TLBs alongside Public Sector Resourcing (PSR). The Operations Hub plays an essential role in the smooth running of CommDP. It acts as the key interface between Task Order Form (TOF) owners - i.e., the MOD functions (known as TLBs - Top Level Budget holders) and the CommDP supplier service delivery team.

**This position is advertised as part time, at 19.5 hours per week and will be based in Bristol. **This pattern will need to be worked over a Wednesday, Thursday & Friday (hours flexible).**

**Conditions have been relaxed but be expected to attend site for a minimum of 1 day per week.**

**Job description**:
You will be responsible for the day-to-day efficient running of the onboarding process.

You will validate resource profiles submitted by the prime supplier against the Task Order Form, ensuring that both the TLB and prime supplier carry out their respective onboarding responsibilities and facilitate the timesheet and milestone approval process through an online workflow tool.

You will ensure that all process steps are followed, control checks applied, management reporting is generated, supplier payments are made and TLB budgets charged for the services utilised.

**Responsibilities**:

- Manage the on boarding process from start to finish.
- Chair weekly Onboarding meetings with the supplier (each TL will usually take turns)
- Monitor the invoicing function, ensuring information is inputted on to the Invoice Tracker and all relevant information is recorded/chased.
- Support to the Operational Hub Manager where required.
- Provide direction for changes or improvements as necessary

There is no Line Management responsibility for this role.

- Confirm flexible resource allocated to assignment.
- Set up individual flexible resources with timesheets for duration of assignment.
- Maintain overview of all assignments: TOF stage, selection, onboarding, delivery, expiring and off-boarding.
- Oversee on-boarding process and validate that all required elements have been completed by prime and TLB before ‘releasing’ flexible resource to start assignment.
- Check security clearance meets specified requirements.
- Validate the approved timesheets versus the resources recorded as assigned on the workflow tool.
- Oversee extension / transfer process where existing flexible resource moves from one assignment to another.
- Oversee off-boarding process and validate that all required elements have been completed by prime and TLB.
- Provide and deliver training to TLBs for the use of the online workflow tool.
- Complete the Foundation Cabinet Office Contract Management programme.
