Our busy secretariat serves over 40 consultant oncologists, who work both at our central Weston Park Hospital site and at District General Hospitals across South Yorkshire.
This is an exciting time to join the team as we are working towards digitising a lot of our processes to benefit patients and teams.
The main duty of the post will be to support the Medical Secretariat in their duties, as well as typing of dictations, demonstrating a strong commitment to the Sheffield NHS Teaching Hospitals Foundation Trust’s PROUD values.
**To undertake the medical secretarial role in order to provide**:
A comprehensive secretarial service to the Consultant and the medical team.
Information to a whole range of professions involved in cancer care.
A link and point of contact for patients and their representatives.
Quality and up to date patient case notes which are available.
Cover within the medical secretariat generally.
The medical secretariat is split in to three teams comprising of Medical Secretaries, Support Secretaries and Audio Typists. Weston Park Hospital is one of only four hospitals in the UK entirely dedicated to non-surgical cancer treatments, and works in partnership with the University of Sheffield so that our patients benefit from the latest cutting edge cancer treatments.

MAIN DUTIES AND RESPONSIBILITIES
With the support of the Operational Manager and the Medical Secretarial Team, undertake the following duties:
To undertake a comprehensive medical secretarial service to the consultant and his/her team including some time management.
To maintain quality and up to date patient case notes which include entering clinic comments and acting upon the instructions therein.
To be responsible for the delivery of accurate clinical letters and discharge summaries.
To manage on an operational level the day to day responsibilities associated with organising specialist clinics at outlying district general hospitals.
To act as an initial point of contact for GP’s, other consultant medical staff, health care professions, patients, patient’s relatives etc.
To liaise and develop effective lines of communication with all different disciplines of staff both at Weston Park Hospital and with the cancer units we serve, together with community based links.
To understand cancer waiting times in order to time manage patients within Government cancer waiting times.
To deal with all aspects of specific MDT’s held within the STHT and peripheral clinics including booking venues and organising hospitality, distributing MDT lists to all those involved, ensuring all patient case notes, x-rays, results etc are available at the meeting and making a note of the outcome/decision of the patients discussed.
To receive and deal with a range of telephone enquiries from all disciplines effectively
To take accurate messages related to consultant/secretary i.e. patient enquiries.
