Group HR Advisor

**Job Overview**
The HR Advisor will work closely with the line managers of the business in recruitment and onboarding of new employees, the development and training of employees, HR legislation compliance, handling the administration and process of grievance and disciplinary issues with the managers involved, and where required redundancies and dismissals. The line managers of the business will lead the processes, the HR Advisor will advise and ensure legal compliance.
**Duties**:
- **External**_
- Manage recruitment partner relations.
- Seek HR related legal and other professional advice when required.
- Answer HR related questions for clients and external audits.
- Where requested, carry out salary benchmarking exercises.
- **Compliance**_
- Maintain knowledge of UK employment law and HR legislation to ensure the group is compliant.
- Providing advice on ER cases such as disciplinaries, grievances, probationary/performance reviews, statutory sick pay, maternal/paternal/shared parental leave and pay.
- Keep Company handbook and policies up to date to reflect any business/legislation changes.
- Signatory on the bank payment systems under direction of group Finance Director.
- Responsible for ensuring contract changes are correctly documented (EG: T&C change letters and in line with TUPE.)
- Organise and maintain electronic employee documentation/records throughout employment.
- Ensure GDPR principles are applied, and retention records are appropriately applied to all current employee documentation.
- **Recruitment, on boarding and leavers**_
- Manage execution of recruitment and onboarding process:
- The appropriate line manager will be responsible for designing job description, in accordance with a standard format set out by HR.
- For some roles, a DBS/enhanced DBS check may be required, which the HR Advisor will execute.
- Once the person is appointed, the HR Advisor will advise IT of their start date, and on behalf of the hiring manager, draft an announcement to the whole group.
- On each new starter’s first day the HR Advisor shall conduct the normal HR induction.
- Manage long service awards, introduction bonuses and gifts for special occasions (EG: marriage, new baby, big birthdays.)
- Arrange and conduct exit interviews with leavers, reporting summary results to managers as appropriate.
- Responsible for liaising with the Group Finance Operations Coordinator to provide payroll change information in a timely manner for processing
- **Planning and reporting**_
- Create and present, and when approved, implement yearly HR budget for the group.
- Create and present monthly Group HR KPI summary board report.
- Create, present, and when approved, implement headcount plans, predicting headcount growth, identifying new development opportunities for rising talent.
- **Performance Development and Management**_
- Work with Managing Directors and Line Managers to ensure performance development review forms are completed for each employee annually and bi-annually, signed by both employee and manager.
- **Training**_
- Work with Managing Directors and Line Managers to identify job, development, IT Security and health & safety training with line managers, within the agreed budget. Make sure training is booked and completed. Updating competence and training matrix when required.
- **Remuneration**_
- In conjunction with MDs and function heads, manage annual pay reviews and performance development reviews.
- Responsible for administering Managing Directors’ and central function heads’ bonus schemes as instructed by shareholder Directors.
- Work with Managing Directors and Line Managers to determine annual discretionary profit related bonuses, providing advice on performance and attendance.
- Manage and administrate group’s private medical and life assurance covers, working with FD to renew such policies on optimum terms. Responsible for adding/ removing employees when necessary.
- **Communication and engagement**_
- Draft and once approved send out Group business announcements
- Plan employee events when required: responsible for planning and organising employee events such as team building days, inter-group technical days and training sessions.
- Travel when required to Group operating sites to provide HR advice, liaise with staff and attend meetings when required. Most such support will be executed by Teams, but meeting managers and employees in person from time to time is essential.
- **Holidays, Absenteeism and Leavers**_
- Manage all employee absence and holiday requests, identifying any individual or collective trends to help improve utilisation/performance.
- Ensure holiday year changeover is successfully implemented with carry over and new year’s balances
- Ensure employees complete absence from work form when returning to work after a period of absence. Hold absence from work meetings with employees who are absent from work for 5+ days, in line with absence policy.
