**Overview of the role**

Preparation of committee agendas, papers, minutes and reports as necessary on behalf of the Senior Tutor.

Dealing promptly and professionally with correspondence and enquiries addressed to the Senior Tutor’s Office.

**Main duties and responsibilities**:

- Serve as the Executive Assistant to the Senior Tutor and ensure the highest level of professionalism and confidentiality regarding matters of the Senior Tutor. Manage the important and highly visible work of the Senior Tutor and be responsible for the successful completion of the administrative operations.
- Maintain electronic schedule of the Senior Tutor and liaise with the Senior Tutor in order to forward plan - taking into account current objectives of the College and the University. Manage the scheduling of meetings, plan and manage the Senior Tutor’s overall working day to ensure an appropriate balance of meetings, incorporating meeting follow up activity. Provide supporting information and materials to the Senior Tutor for each appointment.
- Prepare invitations/doodle polls for meetings, compile and/or prepare meeting agendas and supporting documents; coordinating meeting notifications and logistics; taking accurate notes/minutes when required.
- Support the Senior Tutor with the administrative aspects of line-management for the Senior Tutor’s direct reports.
- Manage logistics for meetings, events, and overseas business, including registration, accommodation, travel and special needs such as visas and liaise with external representatives and coordinate itineraries.
- Be fully informed of the College’s Operational and Strategic Plans and meetings and events so as to assist in achieving the strategic vision of the College.
- Support the Senior Tutor with the ongoing implementation of the College’s development programme of Projects. Coordinate the priorities across the different internal working groups; ensure deadlines are met on behalf of the Senior Tutor; alert Senior Tutor to any potential issues that arise; work closely with senior members of the College to assist with all elements coming together.
- Research data/information required for various projects which can be used to guide discussions.
- Coordinate general expense reimbursement and check the Senior Tutor’s expenditure against monthly management accounts alerting the Senior Tutor to any potential over-runs.
- Implement and maintain office procedures to include filing systems of College and University documents ensuring compliance with GDPR regulations.

- Educated to A-level standard or equivalent.
- Experience of working in administration requiring strong organisational skills.
- Communication skills - communicates accurately, clearly and concisely, in writing and orally, using appropriate structure, media, language, tone and grammar
- Organisational skills - works through tasks in an organised and responsive way and prioritises own workload appropriately to meet deadlines, ensuring any issues are raised on a timely basis

**Flexibility and hours**
- This is a full-time position of 37.5 hours per week, Monday-Friday, with some evening and weekend work necessary from time to time.
- College operates a hybrid working scheme of up to two days per week from home for eligible roles.
