**PART TIME ADMINISTRATOR**
You will be joining a professional, motivated team, dedicated to enhancing the experience of visitors and members alike and to help promote the Clubs reputation across the region.
The role will be for 30 hours per week. This needs to be worked on a flexible basis in order to meet the needs of the Golf Club but will usually be Monday to Friday.

**JOB TITLE: ADMINISTRATOR (Part time)**
**REPORTING TO: CLUB MANAGER**
**RESPONSIBLE FOR: Carrying out the day to day administrative duties of the Golf Club as outlined below and to deputise in the absence of the Manager.**

**The position is part time 30 hours per week but flexible to ensure cover in the manager’s absence. To include at least one Saturday morning per month.**

**The ability to make the appropriate decisions as and when necessary and to tackle emergencies in the absence of the manager**

**Prior administrative experience in a similar services environment**
**Strong oral and written communication skills, excellent organisational skills and attention to detail**
**The ability to handle and maintain confidential information**
**A comprehensive knowledge of IT and the various Microsoft and accounting software packages**
**Experience working with general office equipment such as computers and photocopiers etc.**
**Skilled in preparing and maintaining accurate records, reports and files**
**Self motivated and able to work unsupervised**
**Be of smart personal presentation**
**MA**IN DUTIES AND RESPONSIBILITIES**:
** To work closely with the Club Manager**
** Deputise in the absence of the manager, by**:
**~ ensuring the continued smooth running of the club**
**~ dealing with day to day issues that may arise**
**~ liaising with department heads, Chairman of the Board, Club Captain**
** To prepare the Agenda and take minutes for the monthly Board meetings**
** Receive and respond to member enquiries**
** Receive, check, record and bank all income from the Pro Shop and the Bar**
** Liaising with Bookkeeper as required**
** To prepare, check and oversee all Direct Debit payments**
** Maintaining and checking all Membership Records**
**a. **Confirm new DD payments (before end of month)**
**b. **Run Full DD collection (in time for collection on the 10th)**
**c. **Confirm failures (after the 15th) and make necessary adjustments**
**d. **Update all payments**
**e. **Check that automated membership reminders go out a week before renewal**
**f. **Check non-payments and send out membership reminders (three weeks after renewal date)**
**g. **Contact non-payers (start of following month)**
**h. **Remove non-payers from membership list (second week of following month)**
**i. **Update Breckland points after payment of subscriptions**
** Liaising with the Manager to confirm any Membership changes or queries**
** To contact all non-payments or failures of DDs to seek an explanation within a month; referring outstanding problems to the Manager**
** To maintain, check and order all office stationery**
** To maintain and check regular updates on First Aid, Security, PAT testing, Defibrillator, etc**
** To assist with annual events such as AGMs, other meetings, etc in conjunction with the Manager**
** To carry out filing and other administrative duties**
** To answer and respond appropriately to phone calls, referring to the Manager as required**
** To address members’ queries, referring to the Manager as required**
** To maintain lists of Locker and Buggy shed holders, ensuring correct payments and updated waiting lists**
** To organise and keep up to date sickness and holiday records for all the staff**
** To keep working area clean and tidy and presented to a high standard at all times**
** To carry out other duties as requested by the Manager**
