**Purpose of the Engagement**
We are seeking an experienced **Practice Management System (PMS) Assessment Lead** to undertake a focused evaluation of our existing legal practice technology landscape and lead the **assessment and selection of a new PMS platform**.
This short-term assignment will define the future PMS direction for the firm — aligning platform capabilities to user needs, legal service delivery objectives, compliance standards, and the firm’s modern enterprise architecture.
The contractor will act as the bridge between legal practitioners, operational teams, and enterprise technology, ensuring that the PMS recommendation is evidence-based, user-centred, and strategically aligned.
**Key Objectives**
- Lead the end-to-end **assessment and selection process** for a new Practice Management System.
- Evaluate existing workflows, user needs, and pain points across legal and business services teams.
- Conduct structured **vendor analysis and scoring**, including functional fit, risk, cost, scalability, and integration feasibility.
- Facilitate **vendor demonstrations and user-driven evaluations**, ensuring balanced representation of stakeholder groups.
- Develop a comprehensive **recommendation report** and business case — detailing preferred PMS option(s), rationale, implementation readiness, and value drivers.
- Ensure all recommendations are consistent with the firm’s **data, compliance, and enterprise architecture** standards.
**Scope of Work**
- Discovery workshops and stakeholder interviews across legal, finance, and operations.
- Current vs. future-state capability mapping and process analysis.
- PMS and related legal practice tech market scan (Aderant, Elite 3E, Clio, Peppermint, etc.).
- Vendor engagement, RFI/RFP support, and evaluation facilitation.
- Preparation of selection matrix, scoring outputs, and executive recommendation paper.
- Handover to internal teams for subsequent implementation planning.
**Required Skills & Experience**
- Proven experience **evaluating and selecting** Practice Management Systems within a legal or professional services context.
- Strong background in **product ownership, business systems analysis, or digital transformation**.
- Understanding of core PMS functions — matter management, billing, finance, compliance, and CRM integration.
- Familiarity with **enterprise architecture principles** and data governance considerations.
- Exceptional stakeholder management and facilitation skills — confident engaging with partners, legal teams, and technical specialists.
- Strong documentation and communication skills, capable of producing executive-level deliverables.
- Working knowledge of risk, confidentiality, and regulatory obligations within legal environments.
