We are looking to recruit a highly motivated and enthusiastic person with recent secretarial experience to join our secretarial team within the Gynae Oncology Department at the Queen Elizabeth Hospital in Gateshead. The admin team within the Gynae Oncology service support the delivery of cancer care to patients from across the region referred to the Trust for specialist cancer care.

The post holder will be expected to prioritise their work on a daily basis and to use their initiative and discretion. They will however work under the supervision of other admin team members, who will provide advice and support.

Provide comprehensive secretarial service to the Department/Clinical Team

Provide high quality clinical typing service including; clinic instructions / outcomes, minutes from meetings, populate information into report templates, type ward rounds, update routine information in procedural documents etc.

Action tasks arising from typing; including updating systems, outcome codes, completing required documentation such as internal re-referral, ITP & image transfer and escalate to the Senior Secretary for resolution if required.

Support virtual clinic or Multi-Disciplinary Team Meetings where required (e.g. populating pro forma, attending and following up actions from clinic, live typing using Winscribe digital dictation)

Provide information to assist performance reporting and resolution of queries or complaints (e.g. DATIX) as required.

Contribute towards ensuring the effective and efficient delivery of the clinical administration function.

Communications and Relationships - Dealing with telephone queries, checking patient information with clerical staff / patients. Communicating information verbally and in writing, routine information with patients and staff on, for example discharge, admission, transfer. May be barriers to understanding for example anxious patients, cultural differences, language or communication difficulties.

To communicate effectively with Consultants and other clinicians, GP practices and other departments/directorates or relevant outside agencies as appropriate.

Knowledge, Skills, Training and Experience

Knowledge of computer packages (Microsoft office), medical terminology, audio typing skills, administrative systems, patient information systems, hospital departments, clerical / office procedures, good keyboard and data input skills acquired through on-the-job training and / or with qualifications such as ECDL, RSA 2, CLAIT.

Ability to work as part of a team, demonstrate initiative, organise and prioritise work, sometimes under pressure. Excellent communication skills.

Analytical and Judgemental Skills - Resolves problems, e.g. locating notes, appointment issues, patient queries, follow up actions when responding to queries, escalating issues when necessary
