An exciting opportunity has arisen for an Administrator in our friendly and supportive 0-19 Children's Services Admin Team.

This role is a hybrid working role.

To contribute as part of the team in providing administrative support to Luton 0-19 Universal Service clinical staff.

To provide a high quality, administrative service to a multi-disciplinary team of professionals in order to facilitate the effective and efficient delivery of services.

Work as part of a team lead by the Luton 0-19 Universal Service Administrator Team Leads.

On a day-to-day basis provide a full range of administrative support services to the Luton 0-19 Universal Service, ensuring that all relevant Cambridgeshire Community Services policies and procedures are adhered to, and that patient confidentiality is always maintained.

Be conversant with the roles of all staff and their relationships with internal /external organisations.

Daily use of SystmOne for all client related administration.

Registering and allocation of new births and transfers in and out of Luton.

Allocation of antenatal clients to health visitors.

Providing administration support to the MASH Safeguarding Team.

Allocation of work to health visitors, school nurses and support staff.

Dealing with phone calls into 0-19 staff phone line.

Dealing with post, including child protection documents.

Sending of weekly SMS information to parents/carers via SystmOne.

Running of SystmOne reports and exporting to excel.

Dealing with client information sent by Local and out of area hospitals.

Requesting records of children moved into area and sending records to new 0-19 service for children moved out of Luton.

Booking of 1- & 2-year development reviews.

Scanning of relevant documents onto client records via SystmOne.

Sending of letters for clinical staff as required.

Providing lunchtime/afternoon reception cover on a rota basis.

Participate in the staff performance development review process (staff appraisal) and training programme as required to fulfil duties of the post.

Attendance and participation at 0-19 administration team meetings.

Maintain and monitor supplies, order stock as appropriate, check deliveries and put stock away, report discrepancies.

Ensure all outgoing mail is appropriately addressed and ready for collection at the appropriate time.

Prioritise workload and resolve conflicting demands using own judgement to prioritise.

Contribute to ensuring work is produced to agreed standards through planning and agreeing work, managing workload, maintaining workflow.

Support the Luton 0-19 Universal Service Team Leads and individual team members as part of your role.

Utilise the general office for administrative tasks, including photocopying, scanning etc.

Take responsibility for equipment within the administration office, ensuring any problems are rectified/reported as appropriate and ensuring paper/toner is topped up, as necessary.
