HR & Office Coordinator

We are looking for a high-caliber individual to join us as the **HR & Office Coordinator** for our YCYW Somerset Culture Centre, Knowle Hall, which is a member of the renowned International Education Network - YCYW Education Network in HK.
**Key Job Duties**
**Accounting**:
- Enter finance records accurately using our invoicing and purchasing software
- Monitor expenditure and purchase approvals
- Process staff expense claims, manage monthly petty cash, and handle payment requests to Head Office
- Collaborate with the Activities Coordinator for cash allocation to visiting student groups.
- Work with accountants to ensure accurate VAT records
**HR**:
- Maintain staff personnel and attendance records in HRIS
- Manage recruitment processes, including advertising and arranging interviews
- Liaise with the agent on monthly payroll
- Full administration support to the employee lifecycle (onboarding and off-boarding). This will include, but is not limited to:
- DBS checks, reference checks
- Developing an induction programme for new hires
- Conducting exit interview
- Support annual employee activities such as salary reviews and performance reviews
- Assist the Centre Manager in handling any ad-hoc staff issues in a professional manner
**Administration**:
- Provide reception services and greet visitors
- Order office supplies as needed
- Support visiting UK and Chinese teachers with administrative tasks
- Assist with student group inductions and provide administrative support as required
- Occasionally:
- Assist the Centre Manager with evening shifts to welcome student tour groups
- Support the Education Coordinators with English lessons for students
- Organising monthly staff meeting and taking minutes in the meeting
**Key Requirement**:
- Minimum 2 years of relevant experience for UK
- Solid exposure in VAT submissions
- CIPD level 3 or above qualified an advantage, but not essential with a desire for continuous professional growth
- Competent and capable of providing HR generalist administrative support with the ability to see an activity through to completion
- Experience in supporting all aspects of the employee lifecycle, from an administration perspective, working with multiple systems
- Knowledge of accounting software package, experience of the Quickbooks system will be an added value
- Good IT skills including proficient user of Microsoft Office including Word, Excel and PowerPoint
- Understanding of relevant legislations on accounting and labour for UK
- Good interpersonal and teaming skills, ethics, and with cultural awareness
- Possess a valid driving license
- Hold the right to work in the UK
