We are a thriving butchery business looking for a reliable and detail-oriented **Butchery Administrator** to support our operations. This is a key role in ensuring the smooth running of our administrative processes, stock records, and compliance with food safety standards.

**Key Responsibilities**:
**Stock Management**:

- Maintain accurate stock cards and inventory records on the Opera system.
- Assist in regular stock takes and reconcile discrepancies promptly.
- Generate stock usage and inventory reports for management review.
- Implement and oversee stock rotation procedures using FIFO principles. Including recording traceability and product returns

**Administrative and Receptionist Duties**:

- Answer incoming calls and handle phone orders and queries efficiently.
- Respond to customer inquiries and provide information on available products.
- Maintain a professional and friendly demeanour when interacting with customers and suppliers.
- Manage office filing systems and ensure all records are organized and up to date.

**Purchase Orders and Supplier Coordination**:

- Create and manage purchase orders for all goods received into the butchery.
- Verify and process delivery notes and invoices against purchase orders.
- Maintain updated supplier information and liaise with suppliers to coordinate timely deliveries.
- Follow up on delayed or incomplete deliveries to ensure operational continuity.

**Excel and Reporting**:

- Develop and maintain Excel spreadsheets for inventory tracking, sales analysis, and operational performance.
- Prepare weekly and monthly reports summarizing stock status, purchases, and wastage.
- Use Excel to support budget planning and cost control initiatives.

**Operational Support**:

- Collaborate with the butchery team to ensure smooth daily operations.
- Support the Butchery Manager in implementing operational improvements.
- Act as a liaison between the butchery department and other internal teams.

**Compliance and Record-Keeping**:

- Ensure and monitor in adherence to food safety, hygiene regulations & SALSA accreditation.
- Perform rapid swab testing in accordance with our HACCP.
- Maintain documentation for product & packaging traceability and compliance.
- Monitor expiration dates and quality standards for all products.
- Assist with daily van checks and service schedules.
- Perform monthly probe calibration.

**Key Skills and Competencies**:

- Proficiency in Opera or similar stock management systems.
- Excellent organizational and time-management abilities.
- Effective communication and interpersonal skills.
- Attention to detail and accuracy in record-keeping.
- Customer-focused with the ability to handle inquiries professionally.
- Accuracy of stock records and purchase orders.
- Timeliness and accuracy of reports and documentation.
- Effective handling of phone orders and customer queries.
- Adherence to compliance and food safety regulations.
- Proven experience in an administrative role, preferably within the food production or culinary industry.
- Strong knowledge of food safety regulations and best practices in food preparation.
- Familiarity with kitchen operations, including experience as a butcher or in restaurant settings is advantageous.
- Excellent organisational skills with the ability to manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal, to effectively interact with team members and suppliers.
- A proactive approach to problem-solving with a keen attention to detail.

Pay: From £12.21 per hour

Expected hours: 37.5 per week
