**The Team**
From mission critical systems that govern the movement of trains to digital information and payment systems across London, technology has become the driver of all aspects of our business. The Procurement and Commercial team sit within the Finance department, and we play a key role in delivering transformation in the supply chain for Transport for London.
With responsibility for the significant £6bn+ spend that is needed to keep London moving, the commercial activity P&C drive ensures we get the best return on investment and deliver outstanding long-term value.
Our operations function manages a diverse portfolio that includes Rolling Stock Track/Infrastructure/DLR/Trams/Overground/Underground/Cable Car, Cycle Hire, Marine, it’s our responsibility to plan, strategize and procure every essential component that TfL needs to deliver the millions of journeys that take place on our network each day.
The Governance and Assurance team are responsible for ensuring appropriate assurance and approvals around our commercial decisions take place within the P&C function.
**About the role**
You will support the P&C Assurance Manager in developing and implementing a range of business controls, standards, and new initiatives in relation to governance and assurance processes for P&C put in place by the P&C Senior Leadership Team and Chief Finance Officer, ensuring that these processes deliver the required outcomes, and support effective decision-making by TfL Senior Leadership Team.
**Key Accountabilities**
Carry out secretariat responsibilities for P&C assurance meetings with the Assurance Manager, including:
- Liaise with various meeting contributors to ensure punctual delivery of agenda items and support material;
- preparing and circulating relevant agendas, papers and briefings;
- ensuring all logístical arrangements are in place, such as diary management, etc;
- recording minutes and actions;
- undertaking quality reviews/ checks of submitted papers;
- managing and maintaining the relevant Forward agenda and Actions log.
- route authority requests, assured at P&C assurance meetings, to the relevant authority holder
- Maintain relevant databases for audit purposes, including SAP Ariba and SharePoint sites.
Contribute to ensuring systems are in place to guarantee effective workflow management and processing.
**Skills, Knowledge & Experience**
**Skills**
- Highly computer literate with advanced skills in data manipulation on key packages such as Microsoft Office suite including Outlook and Teams. (Essential) Sharepoint experience (Desirable)
- Good communicator - verbal and written; (Essential)
- Good analytical skills - with the ability to quickly gather, analyse and organise data from a variety of sources and present practical/relevant recommendations; (Desirable)
- Quick learner, self motivated, able to work under own initiative; (Desirable)
- Ability to work in a structured, auditable manner paying attention to detail; (Desirable)
**Knowledge**
- Good ability to interpret and present data. (Essential)
- Working knowledge of procurement and contract management in a regulated environment (Desirable)
- A good knowledge of governance arrangements e.g. the process to drive decision-making (Desirable)
- A good knowledge of techniques and methods required for corporate governance; (Desirable)
- Good working knowledge of TfL (Desirable)
**Experience**
- Experience of reporting, production of agendas and minutes and gaining formal approvals at senior management level; (Essential)
- Experience of providing support to different stakeholders; (Essential)
- Experience of working under pressure successfully to tight deadlines and targets; (Essential)
- Experience in project management or PMO functions; (Desirable)
- Experience of governance processes and methods (e.g. terms of reference, etc.); (Desirable)
- Experience of supporting a procurement or governance process in a complex public sector organisation. (Desirable)
