**Position Overview**:
We have an exciting opportunity for a Receptionist to join our Barbour House Reception team on a part-time or full-time basis. This role will be key to delivering excellent customer service by welcoming visitors to the Company, fielding all calls to relevant departments/colleagues and providing required assistance to Barbour colleagues and Senior Management. Assisting other departments with administrative activities is also a requirement.

**Essential Duties and Responsibilities**:

- Answer all incoming calls within a target time of 7 seconds; keeping unanswered calls to a minimum (ideally not more than 1%) and providing accurate information to all callers
- Direct transfer calls to most relevant departments
- Maintain reception area to a high level of presentation for visitors
- Ensure all relevant covid paperwork is in place for visitors
- Control of board room diary
- Maintain accurate record of staff & visitors to Barbour in accordance with the Fire Procedure/register. Provide details to co-ordinator in the event of an activation
- Provide Health & Safety information to all visitors
- Provide visitors badges and log in/out of building
- Ensure the reception desk is staffed adequately at all times during the hours of 8.30am - 5pm (4pm Friday)
- Sort incoming/outgoing mail and deliver to relevant department trays daily
- Ordering of stationery on a weekly basis, ensuring orders are received/delivered to relevant department
- Maintenance of employee telephone list
- To provide administrative support as/when required

**Skills and Experience**:

- Have experience of working on a busy reception or in an office administrative environment.
- You must be able to handle all calls efficiently, professionally, confidently and politely
- Experience with Mitel switchboard is desirable but not essential.
- Be able to deal with customers both over the phone and face-to-face
- Have a flexible attitude - ensuring department is covered at all times during opening hours and be willing to take on new tasks/ work extra hours or assist other departments if/ when required
- Have excellent administration skills and be competent in Microsoft packages (Word, Outlook, Excel)
- Have an immaculate presentation of self
- Be able to liaise with staff, managers, directors and customers at all levels
- Be a self-starter and be able use initiative yet be able to contribute to a harmonious team
- Pay high attention to detail and have good organisation skills
- To work full time hours for holiday/sickness cover
