DUTIES AND RESPONSIBILITIES Administration Takes requests and makes appointments for patient studies using a computerised booking system and sends out associated information to the patient. Schedules appointments with regard to existing bookings and staffing levels. This requires an awareness of the different complexities of patients procedures and the equipment and staff needed to undertake the test or treatment. Co-ordinates the making of appointments for the clinical PET service in accordance with the Operational Policy.
**This includes**: Dealing with incoming requests promptly. Contacting the Nuclear Medicine Departments and PET-CT scanning centres at Manchester Royal Infirmary, Wigan Albert Edward Infirmary, and various PET-CT sites, to transfer requests, as appropriate. Confirming all patients will be attending their appointment. Contacting patients by phone to determine their eligibility for attendance and give appropriate appointment.
Update the PETCT website. Update the image exchange and PACS portals. Keeping records of all requests, for the purpose of audit. Produces day logs for patients attending for studies, obtaining patient notes from records if necessary.
Books interpreters as required. Maintains stocks of stationery, including all forms and patient information leaflets. Maintains the filing system for the Nuclear Medicine (Clinical) Department. This includes ensuring that records are kept and/or destroyed in accordance with NHS and Trust policies and guidelines.
Assists in the implementation of any changes to booking procedures due to the modernisation agenda. PET National Contract and data management Leads the reporting audit, liaising with external auditors to ensuring compliance with targets outlined in the PET national contract. Endeavours to ensure that appointments for Nuclear Medicine investigations comply with cancer waiting time targets where possible, including monitoring data to comply with targets for cancer waiting times. Provide data and reports relating to the workload of the Nuclear Medicine department as required.
This will include data required to demonstrate compliance with targets. Ensure that the Nuclear Medicine and PET NC Support Manager is fully aware of any matters rising from the above Assists on a monthly basis in collection of data required for QSIS and PET-CT dashboards. Will have System Manager access on the PET-CT referral portal, activating/deactivating clinician accounts, updating clinical indications as and when required and authorizing new user accounts. Ensures all data captured within the PET-CT database is valid and accurate and maintains record of all requests for the purpose of audit.
Deputising Responsibilities Deputising for the Senior Office Manager where appropriate Induction of new staff and training them in performing duties associated with the patient appointment and attendance process. Map staff rotas to ensure appropriate cover Advise and propose changes to departmental policies and procedures Regulatory Ensures that the monthly legal limit for in-patient radioiodine treatments is not exceeded. Contacts other staff (medical/secretarial/nursing) to ensure that incorrectly completed request cards for patients studies are amended to comply with IRMER (2017) Monitors clinical trials activity Ensures all trial data is captured and recorded for monitoring purposes.
