The Worthgate School is looking to recruit an Administration Officer from December 2024. If you have excellent interpersonal and communication skills and enjoy a busy and interactive role, this could be for you.
This postholder will be required to provide a reception service to visitors to the school, dealing with incoming enquiries and undertaking a variety of administrative tasks.
This is a full-time position for 37.5 hours week. Hours are 8.30am 5.00pm Monday to Friday.
This is a key role within the school, ensuring a professional, friendly and responsive reception service is always delivered. The ability to ‘think on your feet’ and confidently engage with various stakeholders is essential. Role reporting Structure: Reports to the Registrar (a member of the Senior Leadership Team)
Main Duties
Act as the school’s Receptionist;
- Answer the telephone and be responsible for transferring calls and taking messages when required;
- Receive visitors: signing visitors in and out of the school appropriately, according to Safeguarding procedures;
Provide administrative support to the SLT;
Provide financial administrative support to the school;
Participate in training and take responsibility for personal development.
Administrative Duties
Provide effective, timely and confidential administrative support to the school’s SLT as required;
Manage transportation bookings for students, staff and visitors;
Undertake additional administrative duties, such as inputting data onto excel spreadsheets, photocopying, scanning, input of Data onto school MIS Systems and
preparing paperwork for visits;
Book staff training courses and associated travel, where appropriate, recording costs to the relevant budget in accordance with CGS travel policy;
Manage SALTO cards for staff and students;
Support students with IT access during induction;
Support students with incoming post.
Person Specification
The job requires that you have:
An education to A-level, with Maths and English GCSEs;
Effective time management skills;
Ability to prioritise conflicting demands;
Ability to meet deadlines;
Strong communication abilities;
Great interpersonal skills, both verbal and written;
Good levels of IT literacy (good knowledge of Microsoft Office technology and advantage);
Strong presentation skills;
Clarity of speech;
Awareness of the environment around you;
A calm and diplomatic approach;
A willingness to play a part in the wider life of the School;
Ability to work effectively, both in a team and autonomously;
A willingness to accept additional responsibilities;
The qualities of a strong role model for young people;
Interest in working in an international environment.
