**The Role**
**Key Responsibilities**
- **Patient Management**:
- Warmly greet and welcome all patients and visitors to the practice.
- Check patients in and out for their appointments efficiently.
- Maintain and update patient records accurately and confidentially, both paper and digitally.
- Handle patient enquiries in a professional, empathetic, and timely manner.
- Book, reschedule, and cancel appointments, managing the practice's diary effectively to ensure a smooth flow of patients.
- **Administrative Duties**:
- Answer and manage a high volume of calls, directing them to the appropriate team member.
- Process payments and issue receipts for treatments.
- Maintain a tidy and presentable reception and waiting area.
- Order and manage office and clinical supplies.
- Assist with the administration of patient finance plans (e.g., Denplan) if applicable.
- **Communication & Teamwork**:
- Liaise with dentists, dental nurses, and other team members to ensure a seamless patient journey.
- Communicate effectively with patients regarding their treatment plans and appointments.
- Promote a positive and welcoming atmosphere within the practice.
- Support the Practice Manager with ad-hoc administrative tasks as required.
**Essential Skills & Attributes**
- Previous experience in a receptionist, administrative, or customer-facing role is essential. Experience in a dental or healthcare setting is highly desirable.
- Exceptional communication and interpersonal skills, with a friendly and professional telephone manner.
- Strong organisational skills and attention to detail.
- Proficiency in using dental software (e.g., SOE Exact, Dentally, or similar) is a significant advantage.
- Competent in using Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- A calm and empathetic approach, able to handle challenging situations with grace.
- A high level of integrity and respect for patient confidentiality.
