**Administration Assistant - The Role**:
As our new Administration Assistant, you will assist with the day-to-day running of the regional office and provide administrative support to other departments.
Key Tasks & Responsibilities
- Answer incoming calls, redirecting callers to relevant staff and filtering calls as required
- Greeting visitors and logging their attendance in the office diary
- Opening, distributing, and preparing mail for dispatch, to include recorded, special delivery and international mail
- Typing and creating documents as required
- Filing, scanning & photocopying
- Archiving paper and electronic files
- Organise transport and accommodation
- Assist with raising purchase orders for plant & materials as required
- Assist with the entering and matching of delivery notes, and releasing of invoices on the procurement system
- Assist with investigating and resolving invoice queries
- Provide administrative support to senior management, and the contracts, estimating, commercial and marketing departments when required (Could include, but not limited to: Production of reports and site files, security clearances and co-ordination of staff diaries)
- Assist with approved Sub-Contractor database, vetting & compliance
- Assist with vehicle hire
- Assist Training Department with staff and operative induction and training when required
- Provide holiday and sickness cover for other administrative staff
- Ensuring professionalism, integrity, and quality is maintained throughout all activities
- Contribute to our uncompromising health & safety for all mission by ensuring company SHEQ, and all other procedures are followed
- Support & contribute to our sustainability and social value goals
- Assist with and promote our mission of providing a safe and caring workplace
- Any other duties as reasonably required
**Administration Assistant - What we need from you**:
- Some experience in a similar administrative role, preferably within the construction industry
- A-Level / NVQ Level 3, or equivalent level of qualification
- Conversant with modern office equipment and Microsoft Office (Outlook, Word, Excel & PowerPoint)
- Strong organisational skills
- A pleasant, confident telephone manner
- Written and verbal reporting skills
- A keen attention to detail whilst being able to prioritise tasks and meet deadlines
- Collaborative approach to communication with Client / Supply Chain & Colleagues
