Purpose of the Team Administrator:
- To provide proactive and professional support within your allocated group
- This role is intended to embrace a team-working approach, collaborating with senior stakeholders across the group and other members of business operations to fulfil the needs of the business.
- A Team Administrator will, collectively, work with every member of the team to ensure that overall needs are met.
- Support will be required to be provided to leads from multiple sub-teams and regions across the group and numbers and content of the group may change from time to time to reflect the current structure
Key Responsibilities (but not limited to) of Team Administrator:
- Maintaining regular reporting ie. monthly headcount/team org structures, client contact databases - updating systems such as Interaction and Mercury, maintenance of client technology licence dates and renewals etc.
- Paper or worksite filing tasks - updating MS Teams Group with documentation, Photocopying, scanning, printing (incl liaising with print room
- Liaising regularly (at least on a weekly basis) with senior team members to identify work commitments and prioritising your workload accordingly
- Diary and travel management for senior team leads
- Liaising with the travel company to make travel and accommodation arrangements (UK and international), keeping allocation advised of any changes in scheduling and ensuring they have an accurate and up to date itinerary and all the relevant travel detailsare in the Outlook diary
- Management of central teamwide meetings. Collating and preparing information for meetings, both internal and external
- Producing and circulating agendas and itineraries
- Attending internal client or project meetings to take notes, distributing minutes and collation of follow-up action points as required;
Skills & Experience required for the Team Administrator:
- Administration experience in a busy environment is desirable
- Excellent IT skills, particularly MS Outlook, MS Word, Excel and PowerPoint
- Excellent organisational, communication and administrative skills
- Excellent attention to detail and high levels of proactivity and initiative
- Ability to work under pressure and at times to very tight deadlines
