**Job overview**:
The post holder is responsible for supervising the Health Records Service and supporting the team under the direction of the Northern Care Alliance (NCA)Group Patient Access & Administration (GPAA) (Health Records). The post holder will provide a comprehensive staff management service including rostering, workload planning, holiday and sickness management, personal development planning and staff induction. The post holder will ensure all reception areas provide a high quality service focused on customer service for each patient and the Trust’s clinical teams.

**Main duties of the job**:
The post holder will also ensure the booking and scheduling of patient appointments and associated administrative duties are undertaken across reception areas in accordance with the Trust’s Elective & Cancer Access Policies and ensure patients are offered an appropriate choice of appointments.

The post holder will be expected to organise their own work whilst managing and monitoring the duties of the Health Records Service to the required standards. The post holder should exercise considerable initiative to supervise all activities within the department to support the development of new working practices, policies and procedures and work with the the Northern Care Alliance (NCA) Group Patient Access & Administration (GPAA) (Health Records) to implement into day-to-day practice

**Essential criteria**:

- Education to GCSE level or equivalent including Mathematics and English
- Computer skill qualification such as ECDL, CLAIT or equivalent.
- Customer Service or Administration qualification or equivalent experience

**Experience**:
**Essential criteria**:

- Considerable experience in working in a Health Records role.
- Knowledge of a hospital based Patient Administration System.
- Supervisory experience of providing day-to-day supervision of a team of staff.
- Experience of staff management including sickness absence management, restoring and appraisal/personal development.
- Experience of providing informal training and inductions within teams

**Skills and Knowledge**:

- Understanding of confidentiality, data Protection and Caldicott Principles.
- Knowledge of NHS Records Management Standards
- Able to recognise and resolve routine issues referring to a Team Leader/ Manager, where appropriate
- Able to communicate in both verbal and written format
- Working knowledge of Microsoft Office i.e. Outlook, Word, Excel.
- Organised and methodical, with an attention to detail
- Ability to analyse information and report information to others in a meaningful way
