The Financial Operations Officer (Apprenticeship) roles sit within the Department’s Financial Operations (FinOps) division, which is part of the Operational Finance directorate. The FinOps division is primarily responsible for making secure, accurate and timely payments in excess of £100bn per annum of public monies to providers and suppliers within the education, skills and training sector.
**Job description**:
As a Financial Operations Officer within the Financial Operations division, you will be working within one of the division’s three key areas: Accounts Payable, Financial Data and Control, and Finance Systems and User Support. Your day-to-day activities/tasks may include:
- Building and maintaining strong relationships with colleagues, customers and key stakeholders
- Managing mailboxes and/or service desks and responding to queries in a timely manner within the Service Level Agreements (SLAs)
- Handle and resolve queries from customers (both internal and external) in a timely manner, adhering to high customer service standards
- Operate processes and systems consistently and diligently
- Validate and process invoices and transactions within the Department’s finance systems
- Preparing daily payment runs and reconciliations and adhering to control processes
- Perform bank reconciliations and prepare supporting journals
- Provide support to the Department’s finance systems and finance systems users
- Maintain the Department’s finance systems to ensure appropriate user access and permissions
- Assist with the validation and verification of supplier/providers’ financial data (e.g. banking information)
**About the Apprenticeship**
As this role includes completion of the Business Administration Apprenticeship (Level 3) and/or AAT, please check the eligibility requirements below using the apprenticeship standard: Level 3 apprenticeship in Business Administration and/or Assistant accountant / Institute for Apprenticeships and Technical Education
To be eligible:
- You must have lived in the UK for 3 years prior to apprenticeship start date and not be undertaking another apprenticeship at the same time.
- You must not already have a substantial amount of the skills and knowledge that is covered in the contents of the apprenticeship standard.
- You must not have already worked in a similar role, or your previous learning, and/or work experience covers the contents (Knowledge, Skills, and Behaviours) of the apprenticeship standard.
- You already have all the skills and knowledge that is covered in the contents of the apprenticeship standard.
- You have already worked in a similar role, or your previous learning, and/or work experience covers the contents (Knowledge, Skills, and Behaviours) of the apprenticeship standard.
- Part of this apprenticeship is to complete a level 2 English and maths functional skills qualification. If you have already achieved GCSEs in English and maths at Level 4 (grade C) or equivalent or a higher grade, you will not need to complete the functional skills qualification.
At the enrolment state, the individual's eligibility will be checked by the training provider.
**Person specification**:
You will be working within a fast-paced finance and systems environments, on a range of multi-priority tasks to changing deadlines. You will be able to work effectively as part of a team, focusing on achieving a collective outcome and work flexibly and proactively to support colleagues within the wider division.

- Ability to manage multiple tasks and balance competing priorities, whilst remaining calm under pressure
- Excellent written and verbal communication skills
- Strong team player, but with the ability to work independently and be proactive in taking own initiative
