Team Administrator

We have an exciting opportunity for a Band 2 Team Administrator to work as part of our busy CAIST Team. This is a full time fixed term position for 12 months to cover maternity leave.
You will need to be able to demonstrate the strength of your communication, prioritisation and administration skills at the same time as showcasing your knowledge of IT systems. You will be able to evidence a flexible response to the teams needs and the ability to think creatively. Experience of working to deadlines, on your own initiative and maintaining strict confidentiality are also essential.
You will be joining a fast-paced and busy environment and be required to use a range of clinical systems and Microsoft packages, therefore you will require a good working knowledge of Microsoft Office, particularly Word, Excel and Outlook.
**Main duties of the role will include (but are not limited to)**:
- Covering reception and answering calls
- minuting of meetings
- Maintaining and monitoring spreadsheets
- Collating and distribution of reports
- Booking rooms
- Creation and distribution of duty rotas
- Creating line management supervision packs
- Processing referrals on Lorenzo and data cleansing
- Raising purchase orders and monitoring stationary through our procurement system Oracle
- Support to team manager in arranging and recording supervision and appraisals
- General office duties ie: photocopying and appointment letters.

Sorting and distribution of incoming and outgoing mail.
To receive and process information from the teams including typing, photocopying and scanning documents.
Maintaining room-booking systems.
Maintaining Filing systems as per Trust Policy and Procedures.
Monitor and ordering stationery.
To provide flexible support and cover across the Locality Teams as indicated by Service need and under direction of Locality Business/ Administration Manager.
Attending meetings as required and appropriate to the role.
To undertake any other appropriate tasks as requested by the Locality Business/ Administration Manager to meet the needs of the Service
