Job responsibilities KEY TASKS Answers and deal with incoming telephone calls from women, relatives, and staff appropriately, referring to midwifery staff as appropriate. Transports items, e.g.: pathology specimens, drugs and health records between departments as required. Participates in the rotation to all clinical areas within the Women & Children Division to provide clerical and reception cover as required.
Follows the guidance and instructions of the midwife-in-charge of the antenatal / postnatal ward, laboursuite or midwifery-led birthing unit. Receives and relays messages to trained staff as required, including reporting of any discomfort or anxiety observed or expressed regarding mothers or babies and their families. Assists with the transfer of mother to other hospitals or to the community. Has an active role in ward security.
Clerical Responsibilities Ensures that all case notes are maintained in good order with investigation results filed promptly. Communicates investigation and treatment results to other departments and GP surgeries as required. Inputs and maintains contemporaneous data records of admissions, transfer and discharge information on e-Care and Cerner data systems. Arranges outpatient and ultrasound follow up appointments for mothers and babies as required by each clinical area.
Orders and maintains stationery stocks to include adequate supplies of patient information leaflets. Ensures all post is dispatched in a timely manner. Provides typing support as required. Professional Responsibility Is kind and considerate to women, their families and visitors at all times.
At all times maintains a professional manner that does not attract negative comment or publicity from service users. Knows and understands the nature and limits of the duties / role of Ward Clerk, including avoiding wasting resources, caring for hospital property and equipment, prevention of infection and personal protection. Attends meetings, in-service training and updating sessions when provided / available. Maintains good communication with all staff.
Carries out clerical duties as are required in each ward area or department under the supervision of qualified staff. Has regard to the safety, privacy, dignity and preferences of individual women and their families. Assists women to meet their physical needs, nutrition, rest, and sleep. Respects the individual womans rights, religious / cultural beliefs and practices.
Assists in maintaining a quiet, clean, tidy and safe environment. Maintains good liaison / relationships with other areas within the hospital.
