**About the job**

A role that needs a high degree of organisation and attention to detail, responsible for working with the team to coordinate the execution of large contracting projects, with a particular focus on project planning, and the preparation and submission of documents to the customer and suppliers.

**Main Responsibilities**
- Preparation and updating of detailed Project Plans (in MS Project format) to meet both the J&E Hall Internal Planning requirements and Client Project Reporting Requirements
- Preparation of project specific documentation.
- Review and approve the non-technical parts of documents prepared and submitted by other parties for accuracy and presentation.
- Attend and participate in meetings with the client and/or supplier to discuss progress, programs etc.
- Coordinate the relevant paperwork as and when required by the PSMA Department to ensure the smooth running of the department and necessary deadlines are adhered to.
- Preparation, control and updating of Project Document Requirement Lists (in multiple formats as required per project) to maintain records of the status of documentation required by the project (e.g. current revision, department/supplier responsible for the document, current approval status, location of the document etc.)
- Control and monitoring of client comments and feedback to enable preparation of variation claims to be submitted to the client where required.
- Accurate maintenance of the computerised filing system, and ensuring that the right documents are assigned to the right project.
- Comply with requirements of Health and Safety Practices as outlined in the Company Health and Safety procedure.
- Ensure all equipment used is maintained in a proper working order.
- Other administrative duties required by the PSMA department.
- Able to work to tight deadlines whilst managing conflicting priorities.
- Outgoing personality with strong written and verbal communication skills
- High attention to detail
- Teamwork and ability to manage workloads across a number of teams

**Required Experience**
- Substantial office administration experience or qualifications.
- Computer literate specifically Adobe Acrobat, Microsoft Word and knowledge of conditional formatting, complex formulae, and macros in Microsoft Excel
- Experience in industrial or manufacturing industries is desirable.
- Publications, indexing, and archiving experience is desirable.

Our Process Systems and Marine business is based out of our head office in Dartford and regional office in Glasgow. We develop bespoke refrigeration packages using ammonia, HFC, HFO, CO2 and hydrocarbon refrigerants in the most demanding conditions.

Our industrial refrigeration design services assist clients at every stage of a project from system conception to commissioning and on-going support.

As part of Process Systems and Marine, you will have the opportunity to work on challenging projects from conception to completion across multiple industries. We have worked on prestigious worldwide projects including HMS Queen Elizabeth aircraft carriers and CERN, the largest physics laboratory in the world.
