Clinical Operations Coordinator

We are looking for a Clinical Operations Coordinator to join us. This would be the first hire within the team, which is a great opportunity for someone where your impact will allow Our Future Health to move forward, as you will be supporting on a number of projects. You will support the Programme Operations Managers and Executive Director with coordinating operational delivery. This will include delivery and maintenance for a designated recruitment route, as well as assisting across routes if required.
Our Future Health will be the UK’s largest ever health research programme, bringing people together to develop new ways to detect, prevent and treat diseases. We are a charity, supported by the UK Government, in partnership with charities and industry. We work closely with the NHS and with public authorities across all nations and regions of the UK.
Our plan is to bring together 5 million volunteers from right across the UK who will be asked to contribute information to help build one of the most detailed pictures we have ever had of people’s health. Researchers will be able to use this information to make new discoveries about human health and diseases. So future generations can live in good health for longer.
**What you’ll be doing**:
In this role, you will be responsible for supporting the Programme Operations Managers and Executive Director with coordinating operational delivery and maintenance for a designated recruitment route, as well as assisting across routes if required. You will be responsible for managing meetings, maintaining spreadsheets, preparing reports, planning, and preparing for go live meetings, calendar management, and maintaining accurate documentation. You will support all efforts by the operations team to collect good quality data and samples, and contribute to improvements to optimize processes where necessary. Your key responsibilities will include but not be limited to:
- Communicating effectively with colleagues and stakeholders to optimally operationalise organisational strategies.
- Scheduling and coordinating relevant internal and joint meetings, including agenda preparation and the generation and distribution of meeting minutes.
- Responsible for timelines and tracking activities using appropriate tools.
- Ensuring timely communication of meeting schedules/cadences and updating relevant stakeholders.
- Creating and maintaining spreadsheets to track various aspects of mobilisation and reporting of appointment capacity, utilisation etc.
- Regularly updating and reviewing spreadsheets to ensure accuracy and completeness.
- Generating regular reports summarising key metrics and milestones.
- Calendar management - clinic calendar set-up in collaboration with IT team
- Collaborating with relevant stakeholders to collect necessary data for reporting purposes.
- Assisting in the coordination of other recruitment and operational activities.
- Liaising with Programme Operations Managers and external stakeholders to ensure the seamless flow of information.
- Maintaining organised and up-to-date documentation related to clinical operations.
- Serving as a point of contact for inquiries as appropriate.
- Facilitating communication with senior colleagues and other team members, ensuring that information is conveyed accurately and in a timely manner to enable smooth operational activities.
**Requirements**:
- Bachelor's degree in a relevant field (e.g., life sciences, healthcare).
- Previous experience in a coordinator role, preferably in clinical operations.
- Proficiency in Microsoft Office, especially Excel for spreadsheet management.
- Excellent communication and interpersonal skills.
- Working knowledge of the UK clinical research environment and regulations
- Strong written and verbal communication skills.
- Critical thinking skills as well as a good level of numeracy, analytical, and interpretive skills.
- Ability to multi-task with excellent organisational and time management skills.
- Having a Clinical Research background or an understanding of population research and cohort studies would be advantageous for this role.
- Having an MSc would be beneficial, although not essential.
